Job Description

This position will provide fiscal support to the fleet team by performing tasks such as reporting, extracting and presenting fleet data, vehicle telematics support with data entry, reporting and troubleshooting; assistance with budget development; balancing and reconciling accounts; processing contracts, change orders and purchase orders; and compiling budget and accounting data and information.

Duties and Responsibilities

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

  • Performs audits of fiscal-related transactions and information which may include procurement card statement and transactions; invoicing and accounts payable data; fleet asset data; fuel card purchases; accounts receivable/billing data; reimbursements; contracts; and inventory-related data; performs reconciliations and resolves discrepancies; prepares adjusting journal entries
  • Prepares, updates and maintains spreadsheets, databases, financial system information, and reports; collects, compiles and reviews data and documents; identifies data issues and recommends resolutions
  • Responds to internal and external customer inquiries; provides guidance and assistance with policies, procedures and processes of assigned area; performs account research and provides summary information; resolves issues or refers advanced issues to appropriate resource
  • Prepares and processes fiscal documents and transactions which may include requisitions and purchase orders; accounts payables; account allocations; accounts receivables; contract preparation and routing contracts through procurement and legal teams, assisting in writing and processing grants, daily cash receipts and related bank deposits; refunds of overpayments
  • Assists in performing analysis of data in support of special projects; compiles data and assists with budget preparation and projections
  • This position is responsible for conducting site visits to EV charging stations throughout the City for inspection purposes, visiting City fuel sites, and test-driving City vehicles to verify Geotab (telematics) functionality. These duties require regular travel to various City locations during the workday
  • Performs other duties of a similar nature and level as assigned

Typical Qualifications

Education and Experience

Associates Degree or 2 Years of College in Business Administration, Accounting, Finance, or related field; 1 to 3 years experience in billing, accounting, payroll, or a related field

OR

Any equivalent combination of training and/or experience that provides the required knowledge, skills, and abilities may be substituted

This position requires regular travel to City facilities to perform essential job duties, including:

  • Conducting inspections of EV charging stations throughout the City
  • Visiting City fuel sites
  • Test driving City vehicles to verify Geotab (telematics) functionality
  • Selected candidate must have a valid North Carolina drivers license (or the ability to obtain one within 60 days of hire) and have a safe driving record to perform the travel duties associated with this position.

  • Provide vehicle telematics support for internal and external customers.
  • Utilizing communication and interpersonal skills as applied to interaction with coworkers, supervisors, the general public and others to sufficiently exchange or convey information and to receive work direction.
