Summary:
With direct supervision from the Executive Assistant to the President, the Senior Administrative Assistant for the Office of the President performs a wide range of sensitive and highly confidential administrative support tasks. This includes administrative support for the President and Vice President for Strategic Planning and Institutional Diversity. This position is responsible for the flow of correspondence including confidential materials, processing of travel and expense reimbursements and accounts payables, coordinates the budget, and provides support for the entire office staff on numerous special projects. The Senior Administrative Assistant also serves as the primary point of contact for office visitors and phone calls. In short, the Senior Administrative Assistant is critical to ensuring the smooth and effective operation of the Office of the President and promoting a welcoming and professional environment.
The Senior Administrative Assistant position requires presence in the office during standard business days and hours; occasional evening and weekend hours may be required.
Job responsibilities include:
- Serve as the initial and primary point of contact for visitors to the Office of the President.
- Answer, screen and direct all incoming calls to the appropriate member of the Office of the President.
- Manage incoming correspondence for the President, Vice President for Strategic Planning and Institutional Diversity and Director of Board Affairs and Strategic Initiatives.
- Facilitate outgoing correspondence for the President, Vice President for Strategic Planning and Institutional Diversity, and Director of Board Affairs and Strategic Initiatives.
- Schedule and coordinate meetings, including reserving meeting space and managing the President's Conference Room (PCR), including technology requirements.
- Manage the Office of the President's email account.
- Provide administrative support for Vice President for Strategic Planning and Institutional Diversity, including preparation, minutes and other administrative support for Institutional Policy and Planning Committee (IPPC) meetings.
- Assist Director of Board Affairs and Strategic Initiatives with preparation and execution of Board of Trustee meetings and other applicable campus activities.
- Maintain files for the Office of the President.
- Process expense office financial transactions, including expense reports and invoices.
- Provide administrative support to the President and Vice President for Strategic Planning and Institutional Diversity for Special Projects, including Skidmore Cares, President's Awards, Scribner House events, Cabinet searches, and other projects.
- Inventory and order office supplies, initiate work orders, and manage IT helpdesk tickets.
Qualifications:
Education: Associate’s degree or equivalent combination of education and experience.
Experience: 2-4 years office coordination experience. Adaptability and aptitude with changing technologies. Demonstrated proficiency in standard office software and tools (word processing, spreadsheets, data entry, PowerPoint, calendar, and human resources and financial systems (Oracle)). Strong written and oral communication skills, accurate detail-oriented with the ability to multi-task & work independently. Excellent customer service skills.
Pay Range: $26.00 - $30.00 per hour
