Description
The Access Control & Security Project Manager is responsible for planning, executing, and closing Access Control, CCTV, and related physical security projects for new and existing clients. This position will work closely with AC&S technicians, installers, subcontractors, vendors, clients, and internal teams to ensure project deliverables are completed within scope, budget, and timeline.
This role requires strong project management skills, financial discipline, scheduling ability, and client communication. The ideal candidate will be able to manage budgets, forecast project completion, coordinate field resources, track project financials, identify risks, and drive projects from kickoff through closeout. Experience with CCTV, Access Control, low voltage, or physical security projects is preferred, but the primary requirement is strong project management ability and operational follow-through.
TYPES OF AC&S PROJECTS
Our AC&S Project Team oversees the implementation of physical security solutions for clients across multiple industries. Projects may include new installations, system expansions, replacements, upgrades, and client-driven security improvements.
Access Control Projects
Overview:
- Manage access control installation projects from kickoff through closeout.
- Coordinate site readiness, client access, technician scheduling, materials, and subcontractor support.
- Track project scope, labor budget, material needs, change order requirements, and completion status.
- Ensure project documentation, closeout details, and handoff information are accurate and complete.
CCTV / Video Surveillance Projects
Overview:
- Manage camera installation, replacement, and expansion projects.
- Coordinate field resources, equipment availability, client scheduling, and site access requirements.
- Monitor project progress, installation timelines, material readiness, and budget performance.
- Ensure final documentation and project closeout requirements are completed.
Low Voltage and Physical Security Projects
Overview:
- Manage related low voltage and physical security work, including cabling, door hardware coordination, device installation, and site readiness.
- Coordinate with clients, technicians, installers, vendors, and subcontractors to keep projects moving.
- Identify site conditions, scope gaps, or missing materials that may impact schedule, budget, or project completion.
- Escalate project risks, budget concerns, and change order needs in a timely manner.
Key Responsibilities
Project Planning and Coordination
- Define project scope, objectives, deliverables, timelines, milestones, resource needs, and budget expectations.
- Build and maintain project work plans that align with the approved scope of work.
- Ensure required project work is represented in tickets, tasks, schedules, budgets, resource assignments, and project documentation.
- Coordinate with clients to understand requirements, expectations, site conditions, access needs, and scheduling constraints.
- Review project scope, materials, labor assumptions, and site requirements early to identify missing information, project risk, or scope gaps.
- Schedule resources effectively to ensure proper use of personnel, equipment, vendors, and subcontractors.
- Confirm field readiness before scheduled work, including materials, site access, client availability, technician instructions, and required documentation.
Project Execution and Monitoring
- Manage the planning, scheduling, execution, financial tracking, and closeout of AC&S projects.
- Coordinate technician, installer, subcontractor, vendor, and client scheduling to maintain project momentum.
- Monitor project progress, identify risks, and help implement mitigation strategies.
- Track and manage project variances to help keep projects within scope and budget.
- Keep project statuses, schedules, notes, end dates, next steps, and resource assignments accurate in ConnectWise or other project management systems.
- Communicate scheduling conflicts, resource capacity issues, project blockers, and priority concerns to leadership in a timely manner.
Financial Management
- Track project budget performance from kickoff through closeout, including labor budget, material budget, cost to completion, and margin impact.
- Develop and maintain project budgets, tracking expenditures to identify variances and adjust plans accordingly.
- Forecast project end dates, remaining labor, remaining materials, and resource requirements.
- Utilize Microsoft Excel and ConnectWise to track and analyze project financials, including budget variances, resource allocation, cost to completion, profitability, and forecasting.
- Prepare project financial updates, including cost to completion, margin impact, profitability, and variance explanations.
- Identify projects trending over budget early and escalate concerns with clear supporting details.
- Review labor, materials, expenses, and change orders before project closure to confirm project financials are accurate.
Change Order Management
- Identify scope changes, missed assumptions, material gaps, site conditions, client requests, and labor overruns that may require change orders.
- Coordinate timely change order documentation and escalation before additional work is performed whenever possible.
- Communicate change order needs clearly to clients, internal teams, and leadership.
- Ensure approved change orders are properly tracked, communicated, and reflected in project financials.
Collaboration and Communication
- Act as the primary point of contact for clients during project execution.
- Conduct project kickoff meetings with clients to discuss project scope, goals, timeline, expectations, and next steps.
- Regularly communicate project status, risks, issues, schedule changes, and blockers to clients and internal stakeholders.
- Work closely with cross-functional teams to ensure project requirements are understood and completed.
- Participate in team meetings and contribute to process improvement initiatives.
Risk Management
- Identify potential project risks and develop mitigation strategies.
- Monitor and manage project risks throughout the project lifecycle.
- Escalate major risks, budget concerns, client issues, and scheduling conflicts as necessary.
- Identify scope gaps, site readiness concerns, material issues, and field conditions that may impact project success.
Quality Assurance and Documentation
- Help ensure projects are delivered on time, within scope, and within budget.
- Ensure adherence to company standards, project management best practices, project specifications, and applicable requirements.
- Perform quality checks and project reviews throughout the project lifecycle.
- Maintain accurate and up-to-date project documentation.
- Ensure required closeout documentation, device information, access details, photos, and handoff notes are completed before project closure.
- Coordinate clean project handoff to Service when applicable.
Customer Service
- Maintain high client satisfaction through professional and courteous interactions.
- Serve as the primary point of contact for clients, addressing and resolving concerns promptly.
- Communicate project impacts, schedule changes, scope concerns, and change order needs professionally and proactively.
- Conduct project closeout communication and obtain client feedback or acceptance as required.
Team Leadership
- Lead and coordinate project teams, including technicians, installers, vendors, and subcontractors.
- Assign tasks and responsibilities to team members, providing guidance and support as needed.
- Coordinate internal and external resources to maintain project timelines and protect project budgets.
- Follow up on assigned work, documentation, updates, and timely completion of tasks.
Safety Management
- Enforce safety protocols and procedures to maintain a safe work environment.
- Ensure team members adhere to safety guidelines.
- Investigate and report any accidents or incidents.
- Ensure technicians, installers, vendors, and subcontractors follow required safety practices while onsite.
Skills, Knowledge & Expertise
- High school diploma or equivalent required.
- 2+ years of experience in project management, project coordination, operations coordination, construction coordination, field service coordination, or a related role.
- Ability to manage multiple active projects, tasks, or workstreams in a fast-paced environment.
- Basic understanding of project budgets, labor tracking, forecasting, or cost management.
- Proficiency in Microsoft Excel is required.
- Experience with project management software, ticketing systems, PSA tools, or similar business platforms.
- Strong communication and interpersonal skills to interact with clients, team members, vendors, subcontractors, and stakeholders effectively.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Strong organizational and problem-solving skills with attention to detail.
- Ability to delegate responsibilities and follow up on assigned work.
- Ability to identify project risks, scope gaps, budget concerns, and change order needs early.
PREFERRED QUALIFICATIONS
- Associate’s or bachelor’s degree in Business Administration, Project Management, Construction Management, Information Technology, or equivalent experience.
- 3+ years of experience in project management, project coordination, construction coordination, field service coordination, or related work.
- Prior experience with ConnectWise Manage or another PSA platform.
- Relevant project management certifications such as CompTIA Project+, CAPM, PMP, ITIL 4, or Six Sigma.
- Experience managing or coordinating CCTV, Access Control, physical security, low voltage, structured cabling, or construction-adjacent projects.
- Experience coordinating technicians, installers, subcontractors, vendors, and client scheduling.
- Experience managing project budgets, labor forecasts, cost to completion, profitability analysis, and project financial reporting.
- Familiarity with access control systems, video surveillance systems, cabling infrastructure, door hardware coordination, and field installation workflows.
OPTIONAL SKILLS & EXPERIENCE
Technology and client security needs are constantly evolving. To be successful as an AC&S Project Manager, it would be beneficial to have some or all of the following experience:
- Previous experience managing CCTV, Access Control, physical security, low voltage, structured cabling, or construction-adjacent projects.
- Familiarity with access control hardware, cameras, door hardware coordination, cabling pathways, site surveys, and field installation workflows.
- Experience working with subcontractors, permitting, inspections, site readiness, and client-driven scheduling constraints.
- Experience using ConnectWise Manage or another PSA/project management platform.
- Experience coordinating material readiness, procurement follow-up, installation scheduling, and project closeout.
- Experience preparing financial updates, budget variance explanations, profitability reviews, or after-action reviews.
PHYSICAL DEMANDS
- Lifting up to 50 lbs., twisting, bending, and walking for extended periods during surveys or site visits.
- Travel to client locations and back to headquarters, distance depending on client, but averaging between 30 to 60 miles one way.
- Must be willing to work outside of regular business hours depending on the needs of the project and client.
- May be required to walk job sites, review installation areas, verify site readiness, and coordinate with field teams onsite.
