Supports institutional planning, effectiveness, accreditation, reporting, and departmental initiatives through coordination of communications, meetings, timelines, documentation, training activities, and office operations. Serves as a liaison with faculty, staff, administrators, and external stakeholders to facilitate the efficient execution of departmental projects and institutional processes.   • Assists the Managing Director and OIRE professional staff with coordination of departmental projects, workflow management, communications, timelines, and operational activities in support of institutional research, institutional effectiveness, strategic planning, accreditation, and other departmental initiatives.
  • Coordinates project-related activities involving academic and administrative units across TTUHSC El Paso, including communications, scheduling, monitoring timelines, tracking deliverables, and maintaining project documentation.
  • Coordinates institutional committee, task force, and working group meetings, including scheduling, preparation and distribution of meeting materials, documentation of meeting outcomes, and maintenance of related records.
  • Coordinates collection and organization of information, documentation, and supporting materials for departmental projects, accreditation activities, strategic planning initiatives, institutional effectiveness processes, and other institutional requests.
  • Maintains departmental records, electronic filing systems, SharePoint sites, and other document repositories to support efficient access to information and continuity of operations.
  • Assists with the preparation, formatting, editing, and distribution of reports, presentations, training materials, meeting documents, charts, tables, and other departmental resources using Microsoft Office and related software applications.
  • Coordinates institutional training sessions, workshops, meetings, and special events sponsored or supported by OIRE, including communications, scheduling, logistics, materials preparation, and participant support.
  • Utilizes institutional applications, databases, and web-based tools to support data entry, information retrieval, document management, project tracking, and departmental operations.
  • Assists with maintenance and updates of departmental websites and online resources, including coordination with institutional web administrators and communication staff as needed.
  • Supports departmental budget administration activities, including monitoring expenditures, processing purchases, coordinating travel arrangements, maintaining inventory records, and assisting with budget planning and tracking activities.
  • Serves as a primary point of contact for departmental inquiries and requests and facilitates communication with faculty, staff, administrators, students, and external stakeholders.
  • Remains current with all licensure, certifications, mandatory compliance requirements, and institutional training.
  • Adheres to all TTUHSC El Paso, TTUS, and departmental policies, procedures, and professional standards.

  • Experience coordinating projects, meetings, events, or operational activities in a higher education, healthcare, government, or similar professional environment.
  • Experience supporting accreditation activities, assessment processes, strategic planning initiatives, committee operations, or other institutional projects is preferred.
  • Experience working with Microsoft Office applications, SharePoint, web content management systems, and electronic document management processes is desirable.
  • Experience with budget tracking, purchasing, travel processing, and office operations is preferred.
  • Demonstrated organizational, communication, customer service, and project coordination skills, including the ability to manage multiple priorities, deadlines, and stakeholder relationships in a professional environment.
