Reports To: Executive Director of Elementary, Executive Director of Secondary, Executive Director of Student Services

Nature of Work

Provides administrative support to the Executive Directors in the Instructional Services Department including, but not limited to, answering phone calls and independently answering routine questions and correspondence not requiring the supervisor's attention, filing, copying, setting up calendar appointments, preparation of presentations, calendar management and correspondence to staff, administrators, parents, students, and community members.

Qualifications and Licensure

  • Associate degree or higher with a preference for a degree in education or business or equivalent work experience
  • Experience with greeting and receiving the public
  • Proficient in Google Suite, Word, Excel, PowerPoint, Adobe, CCI Spreadsheets, and LINQ system,required
  • Experience in Bookkeeping and Infinite Campus, preferred

Duties and Responsibilities

  • Provides administrative support to the Executive Directors including, but not limited to answering phone calls and independently answering routine questions and correspondence not requiring the supervisor's attention, filing, copying, setting up calendar appointments, preparation of presentations, calendar management and correspondence to staff, administrators, parents, students, and community members.
  • Orders and distribute supplies, books, testing and training material as necessary and ensure all billing and shipping issues are resolved with vendors and staff.
  • Assists with the preparation of and tracking of CTE, Pre-K, AIG and other instructional budgets.
  • Assists with the PreK application process including advertising, processing applications, and tracking student data.
  • Assists with the preparation of documents, agreements as needed.
  • Researches, creates, inputs, formats, organize and edit relevant data as needed or requested and prepare in a usable format.
  • Meets and interacts with employees and parents/guardians in routine situations, which require tact, discretion, and courtesy.
  • Represents administrators as directed in communications with constituents providing accurate information, facilitation, and problem resolution.
  • Maintains inventory for equipment purchased.
  • Maintains and updates employee databases.
  • Assists with mail duties.
  • Performs other duties and responsibilities as assigned by the Executive Directors.

Physical Requirements (if applicable)

  • This work requires the occasional exertion of up to 10 pounds of force.
  • Work regularly requires speaking or hearing, frequently requires standing, walking and sitting and occasionally requires stooping, kneeling, crouching or crawling, reaching with hands and arms, lifting and repetitive motions.
  • Work has standard vision requirements.
  • Vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly.
  • Hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound.
  • Work requires preparing and analyzing written or computer data.

Special Requirements (if applicable)

  • General knowledge of standard office and receptionist procedures and the operation of the switchboard.
  • General knowledge of the functions and activities of the public school system.
  • Ability to speak clearly.
  • Ability to understand and follow written and oral directions.
  • Ability to operate standard office, computer and word processing equipment.
  • Ability to establish and maintain effective working relationships with associates, vendors and the general public.
  • Ability to work with staff positively.
