Secretarial Assistant - DA- Victim Witness Services

Hourly Pay Rate: $20.08 - $30.13

Job Summary: Serves as secretary to the director and the domestic violence, felony and misdemeanor general crimes victim witness advocate. Provides secretarial support for case disposition and notification, PROTECT templates and mapping, record retention, file management, and staff training. Position is crossed-trained to provide secretarial assistance for other units.

Job Duties:

  • Analyzes case files and prepares disposition letters and notifications to victims and witnesses on all DV and general crimes cases. Assists with Child Protection Advocacy Unit dispositions as well. Maintains filing system for director.
  • Creates, updates, and maps PROTECT templates for Victim Service Division and other units. Is the contact person for reviewing Juvenile PROTECT and providing information to advocates assigned to adult system.
  • Manages the records for the victim witness impress fund; providing gift cards, parking vouchers and bus tickets to victims and witnesses. Coordinates with Sr. Executive Secretary and fiscal assistant to maintain adequate vouchers and tickets. Conduct monthly inventory.
  • Locate and provide information to citizens, DA attorneys, law enforcement officers, court personnel, staff members, probation and parole agents and defense attorneys.
  • Orders and tracks all Coakley file requests for DAs downtown office. Trains other staff in Coakley File management. Corresponds with Coakley management to resolve problems.
  • Creates and maintains databases for Department of Justice requests involving Crime Victim Compensation and Federal Appeals. Analyzes case files to determine appropriate advocate for victim notification and tracks responses.
  • Maintains database for Clerk of Court inquiries concerning victim information pertaining to restitution payments. Analyzes files to determine appropriate advocate for notification and tracks responses.
  • Trains newly appointed clerical assistants in receptionist duties and VW letters.
  • Generates affidavits and other reports relative to witness fees for advocates for out-of-state witnesses.
  • Creates and edits reports, spread sheets, and pamplets for victim witness division. Reviews and edits work of others.
  • Other duties as assigned.

Minimum Qualifications:

  • Current Wisconsin resident
  • High School Diploma or GED equivalent
  • Three years of Secretarial experience with increasing responsibility
  • Typing - 45 WPM with 95% or greater accuracy
  • Proficient in Microsoft Office: Word, Excel, Access, and Outlook.

Please Note: Subject to management approval and the needs of the department, this position is eligible to telework at 20%
