The School-Based Ophthalmic Technician / Patient Services Coordinator is a multi-functional role responsiblefor supporting school-based eye care operations from patient registration through clinical work-up and opticalcoordination. This individual serves as the onsite operational lead for patient service activities and must becomfortable balancing administrative, clinical, and optical responsibilities. The position requires strong organizational skills, a high level of independence, excellent customer service,and the ability to work effectively with children, parents, school staff, providers, and clinic leadership. Front Desk and Patient Services Responsibilities: Serve as the primary point of contact for students, parents, guardians, school staff, and patients at theschool-based site. Register patients and verify demographic information, consent forms, and all required intake documentation. Obtain insurance information, verify eligibility and benefits, and help confirm coverage for exams, testing,and optical services. Coordinate scheduling, rescheduling, follow-up visits, referrals, and patient communication. Answer phones, return messages, and assist with day-to-day patient service needs and site coordination. Maintain accurate records and ensure that required administrative documentation is complete andproperly filed. Clinical and Technician Responsibilities: Escort patients and manage patient flow through the school-based clinic environment. Obtain case history, chief complaint, ocular history, medication history, allergies, and other relevantscreening information. Perform visual acuity testing, lensometry, autorefractions, keratometry, confrontation fields, andpreliminary examination testing. Perform tonometry, pachymetry, refraction, dilation, and additional ordered work-up procedures inaccordance with clinic protocol. Perform diagnostic testing including OCT, visual fields, photography, and related ophthalmic testing asindicated. Document testing and clinical information accurately in the electronic health record and prepare patientsfor provider review, including telehealth workflows where applicable. Support care coordination and assist with provider communication, follow-up planning, and completionof visit workflows. Optical Responsibilities: Assist patients and families with frame selection and basic education on lenses, eyewear options, andcovered benefits. Obtain pupillary distance, fitting measurements, and other dispensing information as required. Review spectacle prescriptions with patients and families and explain copays, upgrades, and opticalcoverage in a clear manner. Process optical orders accurately, monitor order status, and assist with dispensing, adjustments, andpickup coordination. Help maintain optical inventory, organization, and a professional presentation of optical material.
