City Garden Montessori School Administrative Assistant understands and promotes the school’s mission, vision, objectives, and policies both within and outside the school community. They are responsible for supporting our teaching and administrative staff in providing an instructional program delivered with both Montessori and an anti-bias/anti-racist pedagogy.

Responsibilities:
As a member of the administrative staff, the School Administrative Assistant is a living representation of the radical hospitality City Garden Montessori is famous for. As the face of City Garden, they ensure that all visitors and callers are greeted in a friendly, warm and courteous manner. They are a resource for administrators, academic staff, students, parents and school community, ensuring the orderly functioning of the school day.
Daily School Support:
• Support operation of the school front office, including:
o Arrival and dismissal duties
o Welcoming guests/sign in and out procedures
o Recording school attendance and tardiness
o Answering and routing calls o Distribution of mail and packages
o Copying, faxing, scanning documents
• Respond to telephone, email and written communications
• Prepare correspondence and other materials
• Schedule and prepare for meetings
• Respond to requests for student's records
• Maintain confidentiality regarding all school, student and staff issues Record Keeping
• Create, update, and maintain confidential student files (paper and electronic)
• Enter/upload into Tyler Student Information System database, ensuring accuracy of data
• Student registration
Administrative Duties
• Keep school calendar updated and organized
• Maintain high standards of public relations at all times with students, staff, parents, and school community
• Inventory and order office supplies and school materials
• Ensure proper maintenance of office equipment
• Create, print, prepare and collate materials as requested by administrative staff
• Receive returns of equipment and materials from students and families
• Other duties as requested
Requirements:
Qualifications - Candidates must meet the following requirements:
• Possess a minimum of a 2 years post-secondary professional job experience OR education (e.g. an Associate’s degree)
• 1+ years of working in a public-facing capacity, working in a school highly preferred
• Effective communication skills with adults and children
• Exemplary administrative and organizational skills
• Experience with Google applications, especially Gmail, Calendar, and Drive
• Experience using Microsoft Office Suite (or comparable Google Suite applications), especially spreadsheets
• Strong written and verbal communication skills
• Ability to learn and use new technologies
• Deeply grounded in racial equity and have strong alignment with anti-bias, anti-racism values Environment Working Conditions Indoor school environment, with the majority of work performed at a desk or sitting, with travel to and from various locations within the building(s).

Physical Demands Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain student records files. Nature of work requires an ability to operate standard office equipment (telephone, computer, printer/copier). Have the ability to stand, bend, reach high and low, stoop, and walk around. This position requires the ability to lift and carry up to 15 pound items and to push or pull heavier items. It also requires good vision, hearing, and speech for safe and effective communication.
