About the Role:

  • Coordinates among practice offices the daily physician procedural schedules. Ensures all schedules are completed and accurate based on physician requests and physician history files. Performs registration and scheduling of outpatient appointments, charge entry, collection of co-payments and medical records functions.

KEY RESPONSIBILITIES:

  • Schedules walk-in clinic appointments, and all other related appointments.
  • Schedules cases for physicians in the practice.
  • Performs daily review of cath lab schedule to verify omissions and inaccuracies in postings and communicates with cath lab office coordinator to rectify as needed.
  • Communicates block time assignment change requests to appropriate cath lab leadership.
  • Prints and distributes daily cath lab schedules to appropriate faculty practice offices as needed.
  • Maintains communication between Faculty office and office coordinator/ leadership.
  • Communicates with the cath lab clinical leadership or office coordinator for changes/ accuracy of individual physician procedural schedule.
  • Answers dedicated posting line as well as office telephone in a timely manner; returns messages; forwards calls to other departments as needed.
  • Communicates with physicians and satellite offices to satisfy their procedural scheduling needs.
  • Processes release of medical records information per policy.
  • Conducts inventory and obtains office supplies for the office.
  • Prepares and maintains accurate and complete records for outpatient offices as assigned.
  • Reviews charts periodically for completeness and accuracy to ensure proper maintenance; assures medical records are maintained in accordance with accreditation standards.
  • Distributes and processes all information requests received in a timely manner.
  • Performs complete registration of patients.
  • Optimizes professional charges.
  • Interviews patients to obtain correct demographic and insurance information and enters complete registration into EHR.
  • Assists financial coordinator in insurance verification and ensures proper authorization for billing and collections.
  • Schedules appointments in computerized systems.
  • Collects co-pays as per policy and procedures, and communicates co-payment or other balance due to patients/guarantors.
  • Balances and closes all payment batches at the end of the day and reconciles cash drawer.

REQUIREMENTS:

  • Education: Associate's degree preferred
  • Experience: Three years experience, cardiac experience strongly preferred
