About the Role

Home Grown Outdoor Finishes is a growing landscape, hardscape, asphalt paving, and outdoor services company seeking a highly organized Scheduling and Project Coordinator to support project scheduling, logistics, materials coordination, and communication between the office, operations team, crews, vendors, and customers.

This role helps keep projects organized, properly scheduled, and moving efficiently from approved sale through production. The right person will be detail-oriented, proactive, and comfortable managing multiple moving pieces in a fast-paced outdoor construction environment.

Position Overview

The Scheduling and Project Coordinator is responsible for coordinating project timelines, scheduling crews, ordering materials, tracking job progress, and helping ensure each project is ready before work begins.

This is a key operational support role that helps the company deliver projects on time, communicate clearly, and maintain a professional customer experience throughout production.

Key Responsibilities

Scheduling & Operations

  • Build and manage daily, weekly, and long-term project schedules
  • Coordinate approved projects as they move from sales into production
  • Schedule crews, subcontractors, equipment, and materials based on project needs
  • Adjust schedules as needed due to weather, delays, customer needs, or changing priorities
  • Order materials, plants, and supplies, and coordinate deliveries to job sites
  • Work with Operations Managers to support efficient crew utilization
  • Ensure permits, approvals, job packets, and pre-job requirements are completed before the project start
  • Track project progress and update internal systems
  • Identify and help resolve scheduling conflicts, delays, or inefficiencies
  • Maintain accurate project records, notes, timelines, and job details
  • Assist with forecasting workload, staffing needs, and production capacity
  • Coordinate with vendors, suppliers, subcontractors, and internal team members
  • Support the operations team with day-to-day coordination and administrative follow-through

Communication & Project Support

  • Maintain clear communication between sales, operations, crews, vendors, and customers
  • Help ensure project details, timelines, materials, and customer expectations are clearly documented
  • Communicate with customers regarding scheduling updates, project timing, and basic production questions
  • Assist with project handoffs from sales to operations
  • Help prepare job information, so crews have what they need before arriving on site
  • Monitor job status and communicate updates internally
  • Support change order coordination and documentation as needed
  • Keep internal systems, spreadsheets, and project management tools accurate and organized
  • Provide administrative and coordination support to the production and operations team

  • Projects are scheduled and completed within expected timelines
  • Crews, subcontractors, equipment, and materials are coordinated efficiently
  • Materials are ordered accurately and delivered on time
  • Job information is organized and ready before production begins

Qualifications

  • Strong organizational and time management skills
  • Ability to manage multiple projects, schedules, and priorities
  • Clear communication and problem-solving abilities
  • Experience in scheduling, logistics, operations support, or project coordination preferred
  • Experience in landscaping, hardscaping, paving, construction, or similar industries is a plus
  • Proficiency with scheduling tools, spreadsheets, CRM systems, and project management software
  • LMN experience is a plus
  • Comfortable working with vendors, subcontractors, crews, customers, and internal teams
  • Detail-oriented, proactive, and able to follow through consistently
  • Professional, dependable, and team-oriented
  • Reliable transportation and the ability to commute to Elizabethtown, PA

Compensation & Benefits

  • $22-$25 per hour, based on experience
