Job Summary
The Executive Student Assistant, under the supervision of the SC Board of Directors Chair, will assist appointed SC Executives in carrying out the responsibilities of their respective offices. The Chair will coordinate specific job priorities.

Duties:
  • Operate as the recording secretary at all SC Board meetings.
  • Operate as the recording secretary at committee meetings on the basis of scheduling and availability.
  • Ensure all committee agendas and minutes are posted and delivered to the committee members prior to meetings during the designated semester.
  • Ensure that the minutes taken at board and committee meetings are delivered to the respective chairs at least 3 days prior to subsequent meetings.
  • Report directly to the SC Chair.
  • Complete office-related paperwork as directed.
  • Assist the executives as needed.
  • Act as a signatory on the approved board and committee meeting minutes.
  • Assist in researching data and drafting reports.
  • Set up for board and committee meetings- plaques, projector, recording signage, etc.
  • Assist the executives with communication needs (e.g., drafting mass emails, distributing meeting documents, etc.)
  • Manage the calendar of the SC Chair
  • Attend Board of Directors trainings and retreats held in summer and winter, as well as student staff trainings and workshops. 
  • Other duties as assigned by the SC Chair
                                          
Skills & Qualifications:
  • Possess fundamental clerical skills
  • Proficient in basic math, spelling and English grammar
  • Knowledgeable with programs such as MS Word, Excel, and Outlook
  • Self-motivated with a willingness to learn
  • Possess good organizational and problem solving skills
  • Has a positive attitude with good customer service skills
  • Excellent written and oral communication skills
  • Willingness to work with a versatile, flexible, and ever changing environment with enthusiasm
  • Ability to handle multiple tasks at once to meet deadlines
 
  • Must be a currently enrolled, matriculating Stanislaus State student with a minimum 2.0 grade point average.
  • MUST be available on Thursdays from 3:00 P.M. to 6:30 P.M. to attend all meetings
 
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
Physical requirements and working conditions include, but are not limited to, sitting for extended periods; frequently standing and walking; normal manual dexterity and eye-hand coordination; lifting and moving objects weighing up to 20 lbs.; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, copiers.
Work is performed in an office environment and throughout the campus areas during student programs, continuous contact with other staff, students, faculty, and the public.
 
This position includes evening and/or weekend hours as a regular part of the work schedule based on operational needs. Specific days and hours may vary.
