About the Role

We are a growing specialty subcontractor installing and servicing specialized material handling systems, and we're looking for a detail-oriented Sales Support Specialist to join our team in Gainesville, GA. This role sits at the intersection of technical precision and sales coordination — supporting the full pre-execution process from initial opportunity through handoff to the project manager.

What You'll Own

Estimating & Proposal Support

  • Prepare equipment and system estimates based on plans, specifications, and bid documents
  • Generate accurate pricing for equipment, accessories, freight, and related scope items
  • Coordinate with vendors and internal teams for current pricing and lead times
  • Assist in preparation of quotations, bid proposals, and customer pricing packages
  • Track bid due dates and proposal deadlines

Drafting & Layout Support

  • Prepare system layouts, preliminary drawings, and markups for proposals and customer review
  • Support development of schematic layouts for pneumatic tube, trash, and linen systems
  • Revise drawings based on sales feedback, architect comments, or customer changes
  • Maintain as-sold drawing records for project turnover

Submittals & Order Processing

  • Prepare and submit professional submittal packages after project award
  • Compile product data, drawings, specifications, and compliance documentation
  • Track submittal approvals, resubmittals, and outstanding comments
  • Assist with purchase order review and order entry processes

Sales Team & Customer Support

  • Support sales representatives with lead follow-up, proposal requests, and customer communications
  • Maintain CRM and opportunity tracking systems with accurate notes and status updates
  • Serve as a responsive point of contact for quote status and document requests
  • Communicate professionally with contractors, architects, engineers, hospital staff, and internal departments
  • Coordinate between sales, engineering, operations, and service teams to ensure alignment

What We're Looking For

Required:

  • Experience in construction estimating, inside sales support, project coordination, or construction sales support
  • CAD Drawing Experience
  • Ability to read plans, specifications, and technical documents
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong numerical accuracy and attention to detail
  • Professional written and verbal communication skills
  • Detail-oriented, self-motivated, and able to manage multiple deadlines in a fast-paced environment

Preferred:

  • Drafting experience with AutoCAD, Revit, or similar software
  • Experience with CRM, ERP, or project tracking systems
  • Background in construction equipment sales support, healthcare systems, mechanical/electrical systems, or specialty contracting
  • Familiarity with bid platforms and plan rooms
  • Associate degree or technical/business training
