Sales Project Coordinator


The Sales Project Coordinator provides administrative and operational support to the Sales and Production

teams to ensure construction projects are properly coordinated, documented, and scheduled. This role serves as

a key point of contact between internal departments, vendors, inspectors, and external agencies.


Key Responsibilities:

Support Sales and Production teams with project coordination and administrative tasks.

Request, track, and maintain project-related permits.

Coordinate inspections and communicate with inspectors and municipalities.

Attend weekly scheduling meetings; take, organize, and distribute detailed meeting notes.

Prepare and print project maps, plans, and job documentation.

Review and verify employee and project labor hours.

Track and maintain Certificates of Completion (COC).

Manage Certificates of Insurance (COIs) and W-9 documentation.

Review and process new vendor packets and assist with vendor onboarding.

Support supplier relations and maintain accurate vendor records.

Ensure project documentation is complete, accurate, and compliant with company and regulatory

requirements.


Required Qualifications & Skills:

High school diploma or equivalent; associate degree or relevant coursework preferred.

2+ years of experience in a construction, paving, or manufacturing support role preferred.

Strong organizational and time-management skills with attention to detail.

Ability to manage multiple projects and deadlines in a fast-paced environment.

Proficient in Microsoft Office (Outlook, Word, Excel); experience with project management or

timekeeping systems a plus.

Strong written and verbal communication skills.

Familiarity with construction documents, permits, inspections, and vendor compliance preferred.

Ability to work collaboratively with field crews, sales staff, and management.


Physical Requirements:

Ability to sit, stand, and walk for extended periods of time.

Ability to move between office, shop, yard, and jobsite environments as needed.

Ability to lift, carry, and move up to 25 pounds occasionally.

Ability to bend, kneel, crouch, and reach as required to perform job duties.

Ability to use standard office equipment, including computers, printers, scanners, and phones.

Ability to view and read printed materials, maps, plans, and computer screens.

Ability to communicate effectively in person, by phone, and via email.

Ability to work in environments that may include noise, dust, uneven surfaces, and varying weather

conditions when visiting jobsites.

Must be able to wear required personal protective equipment (PPE) when on jobsites, including hard hat,

safety vest, and protective footwear.
