Sales Operations Administrator

THE ROLE

The Sales Operations Specialist plays a critical role in supporting and optimizing Lanvera's sales and marketing operations. This position owns key sales infrastructure processes including Salesforce administration, pricing governance, contract lifecycle coordination, RFP coordination, executive reporting, and logistics support.

This role partners closely with Sales, Marketing, Operations, and Leadership to ensure processes are accurate, efficient, and scalable. The ideal candidate is highly organized, systems-oriented, detail-driven, and comfortable operating in a fast-paced technology environment.

KEY RESPONSIBILITIES

Sales Systems & Reporting

  • Serve as Sales Systems and Reporting Administrator, maintaining data integrity, tracking sales activity, and generating executive dashboards and reports.
  • Monitor daily and weekly sales performance metrics and ensure CRM compliance.
  • Monitor industry publications for contact moves, mergers, and other industry-related news.
  • Document and maintain standardized sales processes within Salesforce.

 

Pricing & Proposals

  • Maintain current pricing schedules across all products and solutions.
  • Develop pricing estimates and generate proposals for prospects and existing clients.
  • Ensure consistency and accuracy across pricing documentation.



Contract Lifecycle Management

  • Maintain standard contract templates and solution schedules.
  • Coordinate contract generation, redline reviews, and execution processes.
  • Proactively track contract renewals and initiate engagement prior to expiration.

 

Sales Communications & Administrative Support

  • Assist with final formatting, compilation, and quality review of proposal and RFP documents prior to submission.
  • Deploy outbound sales communications, including executing pre-approved mass email campaigns to targeted prospect lists.
  • Ensure related communications and documentation are properly recorded in Salesforce.
  • Serve as the first point of contact for inbound phone inquiries and route calls to the appropriate team members.
  • Greet and assist visitors, clients, and vendors in a professional and courteous manner.
  • Support general office coordination to ensure smooth day-to-day operations.
  • Serve as contact for in-person client and prospect meetings including agenda, communication, and food service.

 

Commercial & Event Logistics Coordination

  • Coordinate trade show logistics, including booth planning, materials management, vendor coordination, and on-site readiness.
  • Arrange business meeting logistics such as executive lunches, prospect meetings, travel coordination, and related scheduling needs.
  • Ensure sales team preparedness for client meetings, industry events, and marketing initiatives.

QUALIFICATIONS

  • Bachelor's degree required
  • 3-5 years of Salesforce experience, including report and dashboard creation
  • Advanced proficiency in Microsoft Excel, including the ability to create complex spreadsheets, use formulas and pivot tables, and analyze sales and pricing data
  • Experience in sales operations or sales administration within a technology or SaaS environment
  • Experience supporting contract generation, redline coordination, and post-signature management
  • Exceptional attention to detail with a high level of accuracy in managing cost estimates, contracts, reporting, and CRM data
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
