DESCRIPTION OF ESSENTIAL DUTIES:

  • Coordinates and manages agent maintenance activities, including appointments, terminations, status changes, and related operational processes.
  • Coordinates and processes book of business transfers and ownership changes accurately and within established timelines.
  • Supports the administration of agent contracts and collaborates with the Operations Manager to facilitate accurate commission processing.
  • Plans, coordinates, and executes sales meetings, conferences, recognition events, incentive trips, and promotional activities in partnership with Sales leadership.
  • Negotiates with hotels, venues, vendors, and service providers to secure favorable pricing and services while maintaining budget objectives.
  • Books travel, lodging, meeting facilities, transportation, and related event logistics for sales meetings, conferences, incentive trips, and other departmental functions.
  • Manages event logistics, schedules, communications, registrations, vendor relationships, and on-site coordination to ensure successful execution of sales events.
  • Monitors event and promotional program budgets, tracks expenditures, and recommends cost-effective solutions while maintaining quality standards.
  • Oversees the procurement, inventory, and distribution of promotional products and sales materials while maintaining appropriate cost controls.
  • Compiles, analyzes, and maintains sales reports, incentive tracking, expense reports, and operational data to support departmental objectives and decision-making.
  • Develops, documents, and recommends process improvements that enhance operational efficiency and service delivery.
  • Provides operational support to Sales leadership for special projects and strategic initiatives as assigned.

OTHER RESPONSIBILITIES/REQUIREMENTS:

  • Performs other duties as assigned.
  • Demonstrates exceptional organizational and project management skills with the ability to manage multiple priorities and meet deadlines.
  • Maintains a high level of accuracy and attention to detail.
  • Exercises sound judgment and maintains strict confidentiality regarding employee, agent, customer, and company information.
  • Must work in the Home Office; this is not a remote or hybrid position.

QUALIFICATION, EDUCATION AND EXPERIENCE REQUIREMENTS: 

  • High school diploma or equivalent and a minimum of four (4) years of progressively responsible experience in sales operations, event planning, travel coordination, vendor management, insurance operations, or a related field; or a college degree in Business, Communications, Hospitality, Marketing, Public Administration, or a related field.
  • Insurance industry experience preferred.
  • Experience negotiating with vendors and coordinating meetings, conferences, or corporate events needed.
  • Experience booking business travel, lodging, and event accommodations for large groups needed.
  • Advanced proficiency with Microsoft Excel and strong working knowledge of Microsoft Word, PowerPoint, and other business software applications.
  • Experience with CRM systems, reporting tools, and sales management platforms preferred.
  • Demonstrated ability to develop and document processes, procedures, and training materials.
  • Strong analytical, organizational, negotiation, and problem-solving skills.
  • Excellent written and verbal communication, customer service, and interpersonal skills.
  • Must possess and maintain a valid Georgia driver's license.

 PHYSICAL DEMANDS/WORK ENVIRONMENT:

  • Primarily performed in a professional office environment.
  • Occasional travel is required to support meetings, conferences, training programs, incentive trips, and sales events.
