Job Title: Sales Coordinator
Position Overview: The sales Coordinator is responsible for supporting customer service and sales activities, including contract review, order entry and maintenance, quote responses, customer follow-up, and coordination with internal departments and outside sales. This role monitors orders and backlogs to keep customers informed, develops customer relationships, and identifies opportunities for new and existing business.
Essential Duties and Responsibilities:
- Develop and maintain strong customer relationships to encourage trust, loyalty, and satisfaction.
- Communicate clearly, concisely, and professionally with customers regarding company products, services, quotes, orders, and order status.
- Respond to customer inquiries in a timely manner, including pricing, availability, delivery, quote requests, claims, returns, and change orders.
- Process customer orders, change orders, claims, returns, and related requests according to established company policies and procedures.
- Perform contract review, order entry, order maintenance, and backlog monitoring to ensure customers are kept informed.
- Follow up on inquiries, quotations, cold leads, warm leads, and existing opportunities to support the sales process.
- Make warm and cold calls using marketing-driven leads and contact lists to create new sales and identify upsell opportunities.
- Maintain activity records, daily call logs, customer follow-ups, job bids, quotes, and pipeline opportunities in sales software.
- Learn and demonstrate company products, services, operational procedures, and competitive information, including pricing and lead times.
- Work with outside sales, commercial development personnel, and internal departments to ensure quality customer service and satisfaction.
- Provide timely and accurate information on incoming customer purchase orders and current order status when requested.
- Provide timely feedback to management regarding service failures, customer concerns, pricing recommendations, and market intelligence.
- Prepare and submit special reports as required.
- Support sales and marketing programs as directed and attend trade shows as required.
- Monitor and update company offerings on internet sales channels, including eBay, Amazon, and website opportunities.
- Obtain all required approvals.
- Maintain a clean and organized work area.
- Complete all assigned training, including monthly health and safety sessions.
- Perform other duties as assigned.
Position Requirements:
- Proficiency in Microsoft Word, Excel, and sales or business systems.
- Ability to generate quotes using job schedules, take-offs, representatives, and vendors.
- Business development skills and a strong interest in sales.
- Ability to work in a fast-paced environment and meet sales targets.
- Ability to work closely with other departments and attend scheduled meetings.
- System/MRP orientation preferred.
- Ability to work in various temperature environments and dusty conditions as needed.
- Ability to read SDS information and follow required PPE guidelines.
- Ability to work overtime as required and contribute as part of a team.
Preferred Qualifications:
- High school diploma or GED.
- One to three years of inside sales experience.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Ability to perform basic math functions accurately.
- Ability to work independently with minimal supervision.
- Strong multitasking skills.
- Experience working with quality systems preferred.
