Job SummaryThe Sales Assistant provides administrative and operational support to the Branch and Sales team by processing customer orders, maintaining accurate records, preparing documentation, and assisting with day-to-day branch operations. This position helps ensure efficient order processing, inventory accuracy, customer satisfaction, and effective communication between customers and internal departments.
Job Duties and Responsibilities- Processes customer orders in SyteLine by entering orders, verifying information, checking inventory availability, and generating reports to support daily operations.
- Prepares and processes sales and operational documentation, including NCRs, CARs, RMAs, credit memos, and daily return logs.
- Assists with month-end closing activities by verifying system information and preparing required reports prior to closing.
- Researches, adjusts, and reconciles inventory discrepancies, including cycle count variances and negative inventory balances.
- Assists with vendor and customer account reconciliations by processing cost adjustments, credit memos, and RMAs.
- Coordinates vendor invoices by submitting documentation for timely payment and responds to vendor payment inquiries.
- Supports the resolution of accounts receivable issues, including billing discrepancies and invoice validation.
- Maintains accurate customer records and other sales-related documentation within company systems.
- Generates standard SyteLine reports and performs routine system error processing.
- Maintains accurate electronic records by scanning and filing documents within the company's recordkeeping system.
- Maintains visitor logs, safety cards, and other documentation required for branch and visitor access.
- Schedules meetings and conference calls as requested.
- Responds to customer inquiries by providing general support and escalating issues to the appropriate department when necessary.
- Performs other duties as assigned by the Branch Manager.

Work Experience- Required: One (1) year of customer service, administrative support, or office experience, preferably in a manufacturing, industrial, or service environment.
Physical Requirements- Must be able to communicate clearly and effectively.
- Must have visual acuity to review documents and enter data accurately.
- Must be able to occasionally lift and move office materials weighing up to 20 pounds.
