Grand Hyatt San Francisco is seeking a highly organized, detail-oriented, and service-focused Sales Administrative Assistant to support the hotel's Sales, Events, and Marketing team. This position provides administrative, clerical, and operational support to help ensure the sales office runs efficiently and that clients, guests, and internal partners receive timely and professional service.

The ideal candidate is proactive, polished, comfortable managing multiple priorities, and able to communicate effectively with clients, hotel colleagues, vendors, and leadership. This role is an excellent opportunity for someone interested in hotel sales, events, hospitality administration, or commercial operations.

Key Responsibilities

  • Provide administrative support to the Sales, Events, and Marketing team.
  • Assist with preparing proposals, contracts, correspondence, reports, presentations, menus, resumes, banquet event orders, and other sales or event documents as needed.
  • Maintain organized files, records, client information, account details, and department documentation.
  • Respond to phone calls, emails, client inquiries, and internal requests in a professional and timely manner.
  • Support sales managers and event managers with daily follow-up, appointment preparation, site inspection materials, client gifts, and meeting coordination.
  • Assist with scheduling meetings, preparing agendas, taking notes, tracking action items, and supporting department communication.
  • Enter and update information in hotel sales, catering, and customer relationship management systems.
  • Help ensure accuracy of account records, booking details, contact information, activities, and client communication.
  • Support site inspections, client visits, VIP arrivals, special events, and hotel tours as needed.
  • Prepare sales collateral, hotel information packets, menus, floor plans, and other client-facing materials.
  • Coordinate office supplies, department organization, mail, shipping, printing, copying, scanning, and other administrative tasks.
  • Assist with group and event support, including routing information to appropriate departments and helping ensure timely communication.
  • Partner with Sales, Events, Revenue, Reservations, Front Office, Food & Beverage, Culinary, Accounting, and other hotel departments to support client and hotel needs.
  • Assist with monthly reporting, production tracking, expense processing, purchase orders, invoices, and other departmental administrative needs.
  • Maintain confidentiality of client, guest, colleague, and business information.
  • Represent Grand Hyatt San Francisco with professionalism, warmth, and attention to detail.
  • Perform other duties as assigned by Sales, Events, or hotel leadership.

This position an hour position with a pay compensation of $37.50 per hour.

Qualifications

  • Previous administrative, sales support, hotel, events, customer service, or office experience preferred.
  • Hospitality, hotel sales, catering, events, or convention hotel experience preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Professional phone and email etiquette.
  • Ability to manage multiple priorities, deadlines, and requests in a fast-paced environment.
  • Strong computer skills, including Microsoft Office, Outlook, Word, Excel, and PowerPoint.
  • Experience with hotel sales/catering systems such as Delphi, Envision, Opera, or similar platforms preferred.
  • Ability to work independently while supporting a collaborative team environment.
  • Strong follow-through, accuracy, discretion, and professionalism.
  • Ability to interact effectively with clients, guests, colleagues, vendors, and hotel leadership.
  • Must be dependable, punctual, and service-oriented.
  • Ability to work a flexible schedule based on business needs, including occasional evenings, weekends, or special events.
