About this Role

The Safety Administrator supports the organization’s comprehensive Safety program by assisting with safety‑related administrative functions, documentation, reporting, and regional support activities. This is a fast‑paced position that is continuously evolving and requires flexibility, adaptability, and a proactive mindset. The role plays a critical part in maintaining a safe and compliant workplace by ensuring safety documentation is properly managed, training records are maintained, required controls are met, and regional administrative safety needs are supported for the Indianapolis (Indy) and Dunbar offices. This position is directly responsible for supporting the development of Emergency Action Plans (EAPs) and Site‑Specific Safety Plans, maintaining visibility of active and upcoming jobsites, and supporting safety trending and reporting efforts. The role requires an individual who is a quick learner, creative, process‑improvement focused, and comfortable using AI tools to improve efficiency and quality.

This will be a remote positions. The ideal candidates will live in Ohio, Indiana, Virginia, or West Virginia. There will be minimum travel required to come into an office at times. 

What You'll Do

  • Contribute to the management of Service Electric Company’s safety programs, policies, and strategy.
  • Provide administrative safety support for the Indianapolis (Indy) and Dunbar offices.
  • Maintain and track a current list of ongoing and upcoming jobsites, including locations, to support safety planning and reporting needs.
  • Serve as Flame Resistant (FR) Clothing Program liaison for employees and providers, assisting with issue resolution as needed.
  • Assist with Personal Protective Equipment (PPE) support efforts for new employees and help coordinate ordering of supplies as needed for the region.
  • Assist with tracking, maintaining, and follow up on monthly inspections of AEDs for the region.
  • Assist with maintaining and providing materials for the Safety Department such as Trauma Kits, PVDs, and other safety supplies.
  • Support New Hire Safety Training efforts by assisting with logistics such as room reservations, meals, and preparation of training materials and PPE. May also assist in portions of training as needed.
  • Assist in the development of safety training materials and maintain inventory of training supplies, ordering or preparing materials as needed for the region.
  • Develop, organize, and maintain Emergency Action Plans (EAPs) and Site‑Specific Safety Plans for projects and locations as required.
  • Support and assist with Good Catch submissions, tracking, and documentation.
  • Pull safety trending data, prepare trending reports, and distribute reports to safety leadership and management.
  • Report and track training records, audits, incident reports, and other safety‑related documentation for the region.
  • Coordinate safety meetings, events, and related activities as directed by the Safety Manager.
  • Assist with safety‑related communications and presentations for leadership and company communications to support safety initiatives.
  • Complete safety metrics and reporting on a weekly, monthly, and quarterly basis.
  • Attend departmental meetings and prepare meeting notes, presentations, memorandums, proposals, and correspondence.
  • Process and monitor departmental purchases using company credit cards for the region.
  • Comply with and track all required third‑party health and safety program requirements.
  • Utilize and be comfortable with AI‑based tools to support safety documentation development, reporting, and administrative efficiency.
  • Demonstrate the ability to work effectively in a fast‑paced, evolving environment while learning quickly, thinking creatively, and continuously seeking opportunities to improve safety processes and workflows.
  • Other duties as assigned.

What You'll Bring

EDUCATION AND EXPERIENCE REQUIREMENTS

  • High school diploma or equivalent required.
  • 2+ years of professional level experience, preferably in workplace safety programs.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficient in Microsoft Office Suite. Strong in Excel with the ability to use formulas, pivot tables, v-lookups, and graphs.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to build rapport with team members.
  • Excellent organizational skills and attention to detail.
  • Ability to manage pressure and conflicting demands and prioritize tasks and workload.
  • Ability to navigate and switch between multiple software programs.
  • Ability to interact with a diverse range of management levels, both internally and externally.
  • Excellent clerical skills and administrative support capabilities.
  • Ability to maintain confidentiality.
  • Ability to lift and carry at least 40 pounds on a routine basis.
