The position is in the Boise Office in the Chinden Campus, 11321 West Chinden Blvd, Building 2.

Summary:

The Idaho State Tax Commission is seeking a Technical Records Specialist 2 for the Account Registration Maintenance (ARM) work unit. This position is responsible for learning and performing a variety of account maintenance functions, supporting daily operations, and contributing to the accuracy and efficiency of taxpayer account processing.

Duties include, but are not limited to, processing account and address updates, assisting taxpayers with account maintenance questions, researching and resolving account-related issues, maintaining documentation and procedures, and supporting workload priorities as needed. The position will also participate in cross-training opportunities with other work units to develop a broad understanding of divisional processes.

The ideal candidate will possess strong organizational skills, attention to detail, effective communication abilities, and the capacity to manage multiple priorities while providing excellent customer service.

Responsibilities:

  • Resolve problems associated with staff assignments
  • Review work to ensure compliance with laws, regulations and policies
  • Answer questions requiring subject matter expertise
  • Review documents to determine appropriate actions, ensure accuracy of computations and compliance with policies and procedures
  • Research, analyze, and resolve complex problems in processing documents
  • Correct or reject incomplete or erroneously submitted documents
  • Contact taxpayers or their representatives to explain changes, actions, and errors, or resolve problems and gain compliance
  • Conduct fact-finding interviews to obtain or verify information
  • Approve changes and make modifications, adjustments or recalculations Interpret, apply, and provide information on laws, rules, requirements, and procedures
  • Review and analyze legal documents for discrepancies
  • Compose letters to address and resolve issues
  • Conduct one-on-one conversations with taxpayers and/or representatives to resolve complex discrepancies
  • Provide training to staff
  • Collaborate with others including attorneys or tax professionals

Minimum Qualifications:

Typically met by at least one year in each of the following areas.

  • Experience monitoring record systems to identify and correct errors
  • Experience interpreting, explaining, and applying laws, regulations, and complex policies for multiple or highly specialized programs
  • Experience analyzing information and researching a variety of sources to identify and resolve problems or issues
  • Experience dealing with individuals from varying cultural and socio-economic backgrounds
  • Experience in stressful situations entering and retrieving data using a computerized record system composing and proofreading business correspondence
