Assists in pre-award functions such as preparing grant applications to ensure conformity with relevant sponsor guidelines, regulations, and hospital policy. Coordinates collection of grant application materials and receipt of institutional reviews and approvals to ensure timely submission. May assist in budget preparation as needed. Prepares financial transactions, such as employee travel and other reimbursements, and approves purchase requisitions in accordance with sponsor and hospital policy. Works with appropriate institutional central offices (Research Administration, Research Finance, Accounts Payable, etc.) to troubleshoot and resolve matters. Assists in the review of financial reports to monitor grant expenses to ensure compliance with sponsored award terms/conditions. Assists in preparing effort and financial reports for Principal Investigators to assist them in monitoring spending rates and planning for future spending needs. Participates in timely grant/award renewal process and the orderly closeout of sponsored activities. Attends institutional training to keep skills current and knowledge up-to-date on sponsor regulations, Hospital policies, and emerging technologies.

Position Summary/ Department Summary:
We are seeking a team player to join the administrative office of the Vascular Biology Program as a Research Administrator I. This position is an excellent first step in research and grants administration.

The successful candidate will be detail-oriented, able to multi-task and prioritize, and a problem-solver who takes initiative while also working collaboratively. Strong communication, problem-solving, and interpersonal skills are required to effectively support our faculty and researchers.

Key Responsibilities:
Over time and with experience this position grows to encompass the full life cycle of research grants--from facilitating grant submissions to managing the budgets of awarded grants through to closing out the projects. This approach provides a comprehensive overview of the field of Research Administration, which is a sector that most people come to indirectly, but once they do, they often find a long-term and incredibly engaging career path.
The initial duties include: 
  • Facilitate the submission of grant applications, proposals, and progress reports.
  • Manage and track upcoming deadlines.
  • Maintain our grants database.
  • Become proficient with learning and communicating funding and submission requirements.
  • Deliver excellent, proactive customer service to our researchers and faculty.
  • Provide cross coverage for our team (e.g., placing lab orders, monthly reconciliation of expenses, directing new lab members, etc.).
  • Assist with other projects and ongoing efficiencies.
  • Ask a ton of questions—the only bad question is the one that isn’t asked!
Minimum Qualifications
Education:
Bachelor’s degree

Experience:
A minimum of two years of financial experience. Excellent computer, data-entry, communication, critical thinking, time management, and interpersonal skills a must.
