Position Information

Position Title Registration & Student Records Coordinator PIN 812000 Classification Summary

Incumbents serve as the lead worker for Registration and Student Records Assistants by providing guidance, coordinating workflow, and supporting consistent frontline service delivery. Assist the Assistant Registrar with the coordination of Registration and Student Records operations, including resolving student issues, supporting process improvements, and maintaining service standards. Coordinate specialty registration and student records processes, including residency and citizenship review, special enrollments, change-of-major processing, and student communications related to enrollment status. Monitor class schedules for accuracy, coordinate needed corrections with academic departments, and maintain assigned Registration and Student Records web content. Support enrollment and registration initiatives, applicant outreach, transfer credit processing, prerequisite checking, Credit for Prior Learning activities, and end-of-term processing. Assist in maintaining academic plans, degree plans, and related student records functions.

Minimum Qualifications

Associate's degree and three years of progressively responsible experience in enrollment services, student records, admissions, registration, customer service, or a related field. Must be able to provide outstanding customer service through written and interpersonal communication with the general public, coworkers, and supervisor. Excellent attention to detail and ability to maintain strict confidentiality are required.

Preferred Qualifications

Experience in Ellucian Banner preferred. Knowledge of enrollment processes preferred.

These are the job duties that are required of the position.

Classification Duties

  • Serve as the lead worker for the Registration and Student Records Assistants. Mentor and support Registration and Student Records Assistants by modeling effective customer service practices, providing guidance on registration and student records processes, and assisting with the coordination of daily workflow. Help prioritize tasks and coordinate daily work assignments to ensure the timely completion of responsibilities and consistent service delivery. Communicate new or revised procedures and provide operational support as needed. (B2)
  • Assist the Assistant Registrar with the coordination of front-counter operations and Registration and Student Records services. Provide assistance and resolution of registration and student records issues, monitor service needs, and participate in the review and improvement of departmental processes to enhance service and operational efficiency. (B2)
  • Monitor class schedules to ensure course sections are built appropriately and accurately. Communicate with associate deans regarding needed corrections and assist in making the corrections. (B2)
  • Lead and coordinate outreach to applicants to aid in the next steps for enrollment processes. Assist with the execution of enrollment and registration initiatives. Work with the Admissions and Marketing teams to plan and coordinate enrollment events. (B2)
  • Ensure accuracy of student residency and citizenship documentation by reviewing records, serve as point of contact for student questions, coordinate student communication, monitor tracking, and update student records to support proper billing. (B2)
  • Coordinate the processing of special enrollments. Process exceptions, including waivers and course substitutions to the degree audit system. Serve as the point person for the change-of-major process. Determine the appropriate timing of processing electronic requests to change majors while reassigning appropriate academic advisors. (B2)
  • Serve as a collaborator to lead the drop for non-payment process and identify students who fail to begin participation in classes. Coordinate communication, including texts, emails, and phone calls with students at risk for being dropped for non-payment and those who fail to begin participation in classes. (B2)
  • Maintain parts of the Class Schedule, Degree Plans, Academic Plans, and other Registration and Student Records web pages on the Jefferson College website, including editing text/content, uploading documents, and linking documents or webpages. (B2)
  • In conjunction with the Assistant Registrar, perform prerequisite checks for multiple disciplines to ensure that students meet the requirements for the courses in which they are registered. Assist with the posting of Credit for Prior Learning and routine transfer credit evaluations. Help the Assistant Registrar facilitate end-of-term processing. (B2)
  • Perform other related duties of a comparable level/type as assigned.
