Job Description

A successful Referral Coordinator Supervisor demonstrates strong leadership, operational oversight, and a comprehensive understanding of referral management processes, insurance procedures, medical terminology, and workflows. This individual leads the referral coordinator team to ensure timely processing of referrals and authorizations while maintaining excellent customer service, compliance, and operational efficiency. Sensitivity to confidential healthcare information is required.

Responsibilities

  • Supervise and support Referral Coordinators across daily operations and workflow management.
  • Oversee the coordination of patient referrals to specialists and other healthcare providers.
  • Monitor referral processing to ensure timely submission of patient referrals and follow-up.
  • Ensure insurance verification and authorization processes are completed accurately and efficiently.
  • Review referral documentation for accuracy, completeness, and compliance with payer requirements.
  • Serve as the primary escalation point for complex referral and authorization issues.
  • Collaborate with providers, clinic leadership, and insurance carriers to resolve barriers to patient care.
  • Analyze workflows and develop and implement workflow improvements to increase efficiency and reduce delays in referrals.
  • Monitor team productivity, performance metrics, and quality assurance standards.
  • Train, mentor, and onboard new referral staff while providing ongoing coaching and development.
  • Conduct regular audits to ensure compliance with HIPAA regulations, company policies, and payer guidelines.
  • Assist in developing departmental policies, procedures, and standard operating workflows.
  • Support reporting initiatives related to referral volume and referral turnaround times, denials, and patient access metrics.
  • Maintain strong communication with patients, providers, and staff regarding referral workflow
  • Assist with staffing coverage and workflow prioritization during high-volume periods or during staff call outs.
  • Promote a positive, team-oriented, and patient-centered work environment.
Experience & Qualifications
  • Previous supervisory or leadership experience in a medical office, referral department, or healthcare setting preferred.
  • Strong knowledge of insurance verification, authorizations, managed care processes, and referral coordination workflows.
  • Proficiency in medical terminology, ICD-9/ICD-10 coding, and electronic medical record (EMR) systems.
  • Familiarity with specialty care referral coordination and multi-site clinic operations is a plus.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Strong problem-solving, decision-making, and conflict-resolution abilities.
  • Excellent communication, interpersonal, and leadership skills.
  • Ability to multitask and effectively manage priorities in a fast-paced environment.
  • Commitment to maintaining confidentiality and adhering to HIPAA regulations at all times.
  • Proficiency in Microsoft Office and healthcare scheduling/referral software preferred.
  • Travel regularly within assigned markets to support clinic teams onsite, assist with operational needs, provide training, reinforce workflows, and ensure consistency across locations.


The pay range for this role is:

24 - 29 USD per hour (LAOSS - East Los Angeles)
