Summary:

  • This is a remote role requiring work during East Coast hours, without exception.
  • Standard work hours include an 8-hour workday with core hours from 9 am to 4 pm.

Responsibilities:

  • Support the talent acquisition team through the recruitment life cycle.
  • Provide administrative and operational support to ensure seamless interfaces between recruiters, candidates, and systems.
  • Coordinate interview schedules for external and internal candidates.
  • Communicate with candidates, internal interviewers, and administrators to negotiate and adjust schedules as necessary.
  • Manage multiple interview calendars for an array of applicants and Hiring Managers simultaneously through Microsoft Outlook.
  • Create, verify, and send interview details to candidates and the selection committee.
  • Arrange travel and accommodations for candidates as needed.
  • Coordinate with additional internal support teams within TA and outside, including HR Operations, Learning and Development, ITS, and other Human Resources Partners to ensure a seamless onboarding and Day 1 experience for new hires.
  • Assist with department projects and initiatives as needed.

Requirements:

  • High school degree or equivalent; Associate's or Bachelor's degree preferred.
  • Minimum 3 years of proven experience within a recruitment coordinator role or administrative function where managing complex calendar scheduling was required.
  • Impeccable attention to detail in a fast-paced, ever-changing work environment.
  • Track record of delivering extraordinary customer service.
  • Ability to handle confidential HR information with discretion.
  • Outstanding interpersonal, verbal, and written communication skills.
  • Exceptional time management: proactive with a strong sense of urgency and the ability to successfully manage multiple tasks at once.
  • Experience working with an applicant tracking system (ATS) and CRM tools; iCIMS and Eightfold are preferred.
  • Highly skilled in MS Outlook, Teams, and Excel.
