Job Title: Recruiter Assistant
Location: Remote - Candidate should be located near Richardson, TX or Chicago, IL
Job Type: W2 Contract
Expected hours per week: 40 hours per week
Schedule: Mon-Fr, 8;00 AM to 5:00 PM CST
Pay: $25 per hour (including benefits)

The Interview Scheduler plays a critical role in supporting the Talent Acquisition team by coordinating interview logistics across multiple departments, time zones, and locations. This role ensures a seamless, positive experience for candidates and hiring teams by managing complex calendars, communicating clearly and professionally, and providing administrative support throughout the hiring process.

Key Responsibilities
  • Partner closely with Recruiters, Hiring Managers, and interview teams to schedule phone screens, virtual interviews, and in-person interviews across multiple locations.
  • Coordinate complex scheduling involving multiple interviewers, panel interviews, and shifting availability.
  • Communicate interview details and expectations clearly to candidates and internal stakeholders.
  • Manage calendar invitations, conference room reservations, virtual meeting links, and follow-up reminders.
Candidate Experience & Communication
  • Serve as a primary point of contact for candidates regarding scheduling, logistics, and next steps.
  • Ensure timely updates and a smooth, positive candidate journey from initial scheduling through final interviews.
  • Respond to scheduling changes or conflicts quickly and tactfully.
Required Skills & Qualifications
  • Prior experience coordinating interviews across multiple teams, locations, or time zones.
  • Strong ability to navigate and manage competing priorities and shifting schedules.
  • Exceptional organizational skills with the ability to manage multiple requests simultaneously.
  • High accuracy in managing logistics, documentation, and communication.
  • Ability to interact with candidates, hiring managers, and team members with professionalism, tact, and a customer-service mindset.
Technical Skills
  • Experience with Applicant Tracking Systems (ATS) and HRIS platforms.
  • Proficiency with Outlook or similar calendar/scheduling tools.
  • Comfortable with virtual meeting platforms (Teams, Zoom, etc.) and general office software.
Preferred Qualifications
  • Experience supporting Talent Acquisition in a high-volume or enterprise environment.
  • Familiarity with multi-location or multi-time-zone scheduling.
  • Background in HR, Recruiting Coordination, or administrative roles in a corporate setting.
