Job Summary
Under the general supervision of the Community Developer Director.
Responsibilities include, but are not limited to, coordinating
recreational programs for residents and visitors, including signature
special events, youth camps, and recreational programs; promoting
program activities; and performing a variety of tasks relative to
assigned areas of responsibility. Provide assistance to upper-level
supervisors or administrators; perform a wide variety of
responsibilities related to department budget, account tracking, and
grants; and develop new systems or improve existing systems and
procedures to increase department efficiency. This role involves
coordinating with various departments, vendors, and community members to
ensure successful and engaging events.
Essential Job Functions

assignments as needed. The goal of the Recreation Coordinator
1-Community/Tourism Special Events is to enhance the community and
tourism quality of life. Some specific duties and responsibilities
include:*
- Coordinate special events.
- Coordinate youth camps and recreation programs.
- Register participants and maintain records for recreation classes,
workshops, and events.
- Maintain and schedule park and recreational facility calendars for
rentals, reservations, and programs.
- Serve as liaison to park and facility user groups to coordinate
field usage throughout the calendar year, process facility rentals,
field reservations, and collect appropriate proof of insurance,
deposits, and user fees.
- Maintain current and accurate budget ledgers of all department
accounts. Reconcile accounts monthly with the Finance department,
research and resolve discrepancies.
- Maintain an accurate spreadsheet of all sponsorships and donations
received by the department.
- Create financial reports that assist with budgeting and monthly
expenditure.
- Process purchase orders/invoices for accounts payable; create check
requests and handle any financial responsibilities related to the
department's contracts with vendors.
- Serve as special event, program, and sports support staff for
special events and/or programming offered by the department.
- Work special events on various weekends, evenings, and holidays when
needed.
- Perform technical support duties for rentals and events, including
managing sound and lighting.
- Participate in the creation and implementation of goals, objectives,
policies, and priorities related to the department.
- Assist in the development and administration of the departmental
budget.
- Maintain a calendar of activities, meetings, and events.
- Act as liaison between parks and recreation personnel and the public
regarding parks and recreation status.
- Attend a variety of job-related conferences and meetings; stay
abreast of new developments in the field of recreational activities.
- Provide support to city-related committees and/or task forces.
- Organize and maintain accurate and current filing system.
- Substitute for staff when needed and perform related duties as
assigned.
- Support city projects and Grant Writer.
- Maintain communication with Communication Specialist regarding
website content functions within assigned role.
- Negotiate contracts and agreements with vendors to secure the best
terms and services.
- Collaborate with city departments, local businesses, and community
organizations to support event needs.
- Develop and manage event budgets, ensuring all e ents are executed
within financial constraints.
- Seek sponsorships and grants to support event funding.
- Develop and implement marketing strategies to promote events and
programs, including social media, print materials, and community
outreach.
- Design promotional materials such as flyers, posters, and digital
content.
- Coordinate with local media outlets to ensure coverage of events.
- Oversee all on-site event operations, including setup, execution,
and teardown.
- Ensure all events comply with safety regulations and city policies.
- Address any issues or emergencies that arise during events promptly
and effectively.
- Conduct post-event evaluations to assess the success of events and
identify areas for improvement.
- Collect feedback from attendees, vendors, and stakeholders.
- Prepare detailed reports on event outcomes and recommendations for
future events.
Supervisory Responsibility
Receives general supervision from department head, upper-level
supervisor, or designee. Exercises functional and technical supervision
over contract employees and volunteers.
