    Position Summary  

    The Records Specialist is responsible for creating, updating, and maintaining accurate customer, equipment, and contract records across multiple internal systems. This role ensures data integrity by validating information, processing updates, and resolving discrepancies that impact operational workflows. The Specialist works closely with internal teams and customers to provide timely support and maintain reliable, well‑structured records. Through consistent accuracy and attention to detail, this position supports the smooth functioning of core business processes. 

    Essential Functions and Responsibilities  

    • Ensure customer information remains current and aligned across systems, supporting smooth operational workflows. 
    • Create accurate account profiles that serve as the foundation for downstream processes. 
    • Manage equipment assignments, serial details, and contract connections to keep asset records precise and reliable. 
    • Process meter data with attention to detail to ensure system records reflect actual device usage. 
    • Apply correct classifications and system rules to maintain clean, structured, and dependable data. 
    • Create and manage identification materials used for equipment tracking and operational coordination. 
    • Review, prioritize, and complete incoming requests related to customer, equipment, and contract record updates. 
    • Provides clear, timely support to internal teams and external customers regarding record‑related inquiries. 
    • Monitors system reports to identify discrepancies, missing information, or updates needed, ensuring data remains accurate and complete. 

    Qualifications and Experience  

    Minimum Qualifications: 

    • High School Diploma or equivalent 
    • Proficiency with basic Microsoft Office tools (Outlook, Excel, Word) 
    • Works well in a team setting and can manage multiple tasks in a fast‑paced environment 
    • Demonstrated ability to handle detailed tasks with care and accuracy 
    • Strong problem‑solving skills with a focus on identifying and correcting data issues 
    • Solid verbal and written communication skills for working with internal and external contacts. 

    Preferred Qualifications: 

    • 1+ years of experience with e‑Automate or similar business/ERP systems 
    • Some college coursework, or 2+ years of related job experience. 
    • Prior experience in the copier/print industry or a similar operational environment 
    • Intermediate Microsoft Office skills, especially Excel (sorting, filtering, basic formulas). 
    • Experience working with ticketing systems or workflow tools (e.g., ServiceNow)
