The Division of Continuing Education (CE)'s Academic Records team at the University of Colorado, Boulder is seeking applications for a Records Specialist! This position is responsible for scheduling all Continuing Education courses in the Course Leaf Section Scheduler (CLSS) system and serve as the main point of contact for student records-related issues. The position exercises independent judgment on issues of student residency, data extraction from CU SIS, and CE representation within the broader campus context.

Through work with the Division's staff and leadership, and through collaboration with campus partners, this position will provide expert knowledge of Division and university-wide policies and systems. In addition to supporting others, this role will proactively identify problems and solutions unique to the Division's programs and students. This position will carry out these duties by attending UIS Student Records Team meetings, working closely with the main campus Registrar's Office, and CU Boulder schools/colleges/programs, in addition to regular attendance of Continuing Education meetings.

The Records Specialist is a full-time, exempt position reporting to the Assistant Dean for Strategic Engagement.

Scheduling

  • Schedule all courses for the Division within CLSS, including Evening Credit, Online Credit, Noncredit, IEC (credit and noncredit), CU Boulder Online (CUBO) programs, and Leeds' MBA programs.
  • Work directly with program managers/directors to create class schedules for each term-build/update individual sections, combine sections, cancel classes.
  • Quality assurance audits prior to enrollment periods.
  • Update university course catalog within CU-SIS for specific classes.
  • Create grade rosters and process/purge waitlists.

Record Maintenance

  • Responsible for all facets of student record maintenance within the student information system (CU-SIS) as well as supplemental systems-primarily, Slate and OnBase.
  • System research, analysis and resolution of duplicate student records and other errors in record creation.
  • Batch processing to update student records including term activation, enrollment, grade changes, student groups, achievements, and service indicators.
  • Evaluate eligibility for residency for nondegree, MBA and CUBO students; review CE residency petitions.
  • Create enrollment verifications for nondegree/noncredit students and unofficial transcripts as needed at the request of students or staff.
  • Process Special Action, Change of Record, Withdrawal, Leave of Absence and Certificate Declaration and Award requests within OnBase workflows and CU-SIS. As well as archive posted grades, enrollment requests, transcript information and all other student records related requests in OnBase.
  • Process student petitions following committee review.

Division and Professional Engagement

  • Participate in Division and University-wide committee work and attend regular staff meetings.
  • Serve as a resource and committee member of the petition committee.
  • Engage in ongoing professional development opportunities.
