Russell Tobin's client, a a world leader in heating, air-conditioning and refrigeration solutions company, is hiring an Service Operations Coordinator  in  Charlotte, NC .

 

Service Operations Coordinator/Records Management Associate

We are seeking a detail-oriented and organized Administrative Support Coordinator to join our team in an onsite role. This position supports daily operations through records management, procurement assistance, warranty coordination, invoicing support, and administrative functions within a fast-paced service environment.

Schedule: Monday – Friday, 8:00 AM – 5:00 PM

Pay Rate: $20–$23/hour

Location: Charlotte, NC

Job Type: 1 yr contract w/ pos to ext/convert

 

Key Responsibilities

  • Maintain and organize company records, documents, and operational materials
  • Provide data management and accounts receivable support
  • Assist with job management coordination
  • Support warranty registration, claims, and cost recovery processes
  • Assist with procurement activities including:
    • Parts ordering
    • Purchase order creation
  • Process credit memos, invoice cancellations, and cost transfers
  • Follow established procedures and standard work instructions
  • Manage multiple priorities while maintaining accuracy and efficiency

Qualifications

  • Experience in HVAC or a service-based organization preferred
  • Familiarity with SalesForce.com preferred but not required
  • Familiarity with SAP S4/Hana preferred but not required
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to interact professionally with customers and colleagues at all levels
  • Intermediate proficiency in Microsoft Office applications
  • Strong time management and multitasking abilities
  • Ability to work independently with minimal supervision

Education & Experience

  • High School Diploma or GED required
  • Bachelor’s degree preferred but not required
  • Candidates with:
    • 3+ years of shared services or administrative support experience, or
    • 1+ years of relevant professional experience with a bachelor’s degree
