    Position Summary

    Century Control Systems Inc is seeking a detail-oriented and highly organised Records Coordinator to manage the company's records and document control processes. The successful candidate will ensure that business records are accurately maintained, securely stored, and readily accessible while supporting compliance with company policies, regulatory requirements, and industry standards. This role requires exceptional organisational skills, accuracy, and the ability to work effectively with multiple departments.
    Key Responsibilities

    • Maintain, organise, and manage physical and electronic records in accordance with company policies and document retention schedules.
    • Ensure records are accurately classified, indexed, archived, and securely stored.
    • Coordinate document control activities, including document creation, revision, approval, distribution, and archiving.
    • Monitor compliance with records management procedures and applicable regulatory requirements.
    • Retrieve records and documentation promptly in response to internal and external requests.
    • Support audits, inspections, and quality assurance activities by preparing and providing required documentation.
    • Maintain document version control and ensure employees have access to the most current approved documents.
    • Assist with the implementation and continuous improvement of records management systems and document control processes.
    • Collaborate with department managers to ensure accurate recordkeeping across all business functions.
    • Dispose of records in accordance with approved retention schedules and legal requirements.
    • Prepare regular reports on records management activities, document status, and compliance metrics.
    • Train employees on document control procedures and records management best practices.

    Required Qualifications

    • Diploma or Bachelor's degree in Business Administration, Information Management, Records Management, or a related field, or equivalent relevant experience.
    • Minimum of two years' experience in records management, document control, administration, or a similar role.
    • Strong understanding of document control principles and records management practices.
    • Excellent organisational skills with exceptional attention to detail.
    • Proficiency in Microsoft Office applications and electronic document management systems (EDMS).
    • Strong written and verbal communication skills.
    • Ability to manage multiple priorities while meeting deadlines.
    • Ability to handle confidential information with professionalism and discretion.

    Preferred Qualifications

    • Experience within industrial automation, engineering, manufacturing, construction, or a technical services environment.
    • Familiarity with ISO 9001 or other quality management systems.
    • Experience using enterprise document management or records management software.
    • Knowledge of regulatory compliance and document retention requirements.
