The Receptionist / Administrative Assistant serves as the first point of contact for visitors, employees, and external business partners. This position is responsible for providing professional front desk coverage, administrative support, and exceptional customer service while ensuring the efficient operation of office functions. The ideal candidate is highly organized, detail-oriented, bilingual in English and Spanish, and capable of managing multiple priorities in a fast-paced environment.

Functions include but are not limited to the following. Must be able to move freely between tasks depending on workload, season, etc.

Key responsibilities include but are not limited to:

  • Greet and welcome visitors, vendors, and guests in a professional and courteous manner.
  • Manage front desk operations and maintain a positive first impression of the organization.
  • Answer, screen, and direct incoming telephone calls promptly and professionally.
  • Monitor and manage multiple departmental email inboxes, ensuring timely responses and follow-up.
  • Collect, sort, distribute, and prepare incoming and outgoing mail, packages, and correspondence.
  • Receive, route, and distribute fax and electronic communications.
  • Assist with invoice processing, tracking, and administrative documentation.
  • Perform accurate data entry and maintain records, files, and databases.
  • Coordinate visitor access and ensure compliance with facility security and safety procedures.
  • Maintain the cleanliness and professional appearance of the reception area, lobby, and common spaces.
  • Schedule meetings, conference rooms, and appointments as needed.
  • Support onboarding activities, employee communications, and other Human Resources administrative functions.
  • Prepare reports, presentations, spreadsheets, and correspondence using Microsoft Office applications.
  • Maintain complete confidentiality and discretion regarding sensitive employee, business, and company information.
  • Provide administrative and clerical support to various departments as assigned.
  • Assist with special projects and additional administrative duties as needed

EDUCATION and/or EXPERIENCE:

  • High School Diploma or equivalent required.
  • Bilingual in English and Spanish required.
  • Minimum of one (1) year of receptionist, front desk, customer service, or administrative support experience.
  • Valid driver''s license may be required depending on business needs.

SPECIFIC KNOWELDGE, AND SKILLS:

  • Excellent verbal and written communication skills in both English and Spanish.
  • Strong customer service and interpersonal skills with a positive, professional attitude.
  • Exceptional organizational skills with the ability to prioritize and multitask effectively.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and accuracy.
  • Effective time management and problem-solving skills.
  • Professional telephone etiquette and communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Demonstrated ability to conduct business with professionalism, courtesy, and respect.

Proficiency in Microsoft Office Suite, including:
