Medical Receptionist / Front Office Coordinator
Job Summary
We are seeking a friendly, detail-oriented, and professional Medical Receptionist / Front Office Coordinator to join our healthcare team. This role is responsible for welcoming patients, managing appointment scheduling, verifying insurance, maintaining accurate patient records, and ensuring a smooth front-office experience.
Key Responsibilities
- Welcome patients and visitors by greeting them in person and on the telephone; answer questions or refer inquiries appropriately.
- Handles prior authorization requests by submitting required clinical documentation, communicating with insurance companies, and tracking approvals to ensure timely patient care.
- Schedule and maintain patient appointments by:
- Verifying insurance benefits and eligibility prior to visits
- Reminding patients of upcoming appointments
- Registering and checking in patients in a timely manner
- Preparing necessary visit documentation
- Notifying providers of late arrivals and rescheduling when needed
- Maintain a welcoming environment by anticipating patient needs, addressing concerns, and keeping the reception area clean and presentable.
- Maintain patient records by obtaining, recording, and updating demographics and insurance information in the electronic health records (EHR) system.
- Maintain accurate financial records by updating patient accounts, recording and collecting payments, and providing receipts.
- Protect patient confidentiality by complying with HIPAA regulations.
- Learn and effectively use our electronic health records system (All scripts).
- Perform additional duties as assigned by providers or management.
Skills and Qualifications
- Medical Assistant training or experience preferred
- Knowledge of Managed Care policies and procedures, including obtaining information from health plans and IPAs
- Professional appearance and behavior
- Willingness to work a flexible schedule
- Strong attention to detail and commitment to quality
- Ability to use good judgment and remain calm in stressful situations
- Excellent verbal, telephone, and communication skills
- Strong computer skills, including Microsoft Office
- Ability to learn new systems and adapt quickly
- Current CPR certification (or willingness to obtain)
- Pay Rate (Virginia)
- Hourly pay ranges from $18 to $20 per hour, depending on experience.
