JOB SUMMARY
Performs advanced level of legal secretarial and administrative work in the District Attorney's Office.
ESSENTIAL FUNCTIONS AND RESPOSIBILITIES
Answers the telephone; routes calls to appropriate destination
Provides general and specific information in response to citizens' inquiries and requests. Greets visitors and provides directions or instructions relevant to their purpose of visit.
Receives, sorts and distributes mail to appropriate destination.
Receives various letters from attorneys and responds at the District Attorney's direction which includes pulling cases and processes requests as directed.
Performs light typing to include typing orders, memos, motions and business letters for the department.
Order office supplies.
Enters calendar information onto outlook.
Processes the certificate of service.
Maintains a productive and positive working relationship with courthouse personnel and law enforcement.
Has good working knowledge of Tracker including data entry, creating reports, generating documents, and regularly uses for information.
Assists the department head and other clerical personnel as needed.
Performs other related work as required.
MINIMUM QUALIFICATIONS REQUIRED
Education and Experience:
High School diploma or G.E.D.
Office experience required
Bilingual - speak, read and write in Spanish
Licenses and Certifications:
None.
Knowledge, Skills and Abilities:
Skill in operating a switchboard and in receiving/routing multiple telephone calls efficiently and tactfully.
Skill in providing general and specific information to citizens.
Ability to type 50-55 w.p.m.
Ability to determine the needs of citizens and skill in directing their calls to the appropriate destination.
Ability to deal tactfully and courteously with the public and other employees.
Ability to perform light typing and clerical support with accuracy.
ADA MINIMUM REQUIREMENTS
Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may include some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation. Duties require the ability to operate a personal computer.
Sensory Requirements: Some tasks require the ability to communicate orally.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
