IST Management is seeking a professional, customer-focused Receptionist / Workplace Coordinator to support a premier corporate client in Columbia, Maryland. This position serves as the first point of contact for employees, visitors, vendors, and guests while helping create a welcoming, organized, and productive workplace environment.

Responsibilities

Key Responsibilities
Reception & Visitor Services
  • Greet employees, visitors, vendors, and guests in a professional and welcoming manner
  • Manage visitor registration, check-in procedures, and guest notifications
  • Answer, screen, and direct incoming telephone calls and inquiries
  • Maintain a professional reception area and positive first impression of the workplace
  • Provide concierge-level customer service and support
Conference Room & Hospitality Support
  • Assist with conference room scheduling, meeting support, and room readiness
  • Coordinate catering deliveries and meeting-related requests
  • Support workplace events, employee activities, and special projects
  • Monitor conference rooms and common areas to ensure workplace standards are maintained
  • Assist with hospitality services and employee experience initiatives
Workplace Operations Support
  • Support mail, package, shipping, and courier activities as needed
  • Monitor and replenish office, pantry, and hospitality supplies
  • Maintain operational records, logs, and reports
  • Respond to employee requests and route inquiries appropriately
  • Partner with workplace services team members to support daily office operations
Qualifications

Qualifications
  • High School Diploma or GED required
  • Associate's degree preferred
  • One or more years of experience in reception, hospitality, customer service, workplace services, administrative support, or a related field
  • Strong customer service and interpersonal skills
  • Excellent verbal and written communication abilities
  • Professional appearance and demeanor
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
  • Strong organizational skills with the ability to manage multiple priorities
  • Ability to maintain confidentiality and exercise sound judgment
  • Experience supporting corporate office environments preferred
  • Experience with visitor management, conference room coordination, or hospitality services preferred
Physical Requirements
  • Ability to lift up to 25 pounds as needed
  • Ability to stand, walk, and move throughout the workplace during the workday
  • Ability to perform routine office and workplace support activities
