Job Summary/Company: Sparks Group has partnered with a respected professional association to identify a Receptionist for a short-term, 7-week contract assignment. This position will provide front desk coverage during a leave of absence and serve as the first point of contact for visitors, members, and callers. We are seeking a polished, customer-focused professional who thrives in a fast-paced office environment and possesses strong technical proficiency with Microsoft Office applications.


Responsibilities:
  • Greet and assist visitors, ensuring a welcoming and professional experience.
  • Manage the front desk and maintain a positive first impression for all guests and callers.
  • Answer, screen, and accurately route incoming telephone calls to the appropriate departments and staff members.
  • Monitor and manage shared inboxes, calendars, and communication channels.
  • Coordinate visitor check-in procedures and meeting room logistics.
  • Provide administrative support including data entry, document preparation, filing, and correspondence.
  • Assist with scheduling and calendar management as needed.
  • Utilize Microsoft Teams, Outlook, Word, and Excel to support daily office operations.
  • Respond to inquiries and resolve issues professionally while escalating concerns when appropriate.
  • Support office staff with special projects and administrative tasks as assigned.
  • Maintain confidentiality and professionalism in all interactions.

Qualifications/Background Profile:
  • Previous receptionist, front desk, concierge, or customer-facing administrative experience required.
  • Strong proficiency with Microsoft Office Suite, particularly Teams, Outlook, Word, and Excel.
  • Demonstrated ability to screen, prioritize, and direct incoming calls efficiently.
  • Excellent verbal and written communication skills.
  • Outstanding customer service and interpersonal skills.
  • Strong problem-solving abilities with a proactive, solutions-oriented mindset.
  • Ability to work independently while contributing positively to a team environment.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Comfortable learning new technologies and navigating office systems.
