As our Receptionist/Administrative Assistant, you serve as the welcoming face and central hub of our office. You create a positive first impression for all visitors and callers, ensuring a smooth and efficient daily operation. Job Duties and Responsibilities
- Greets and welcomes all visitors with a professional and friendly demeanor, directing them appropriately and ensuring a positive experience.
- Manages all incoming calls, screening and directing them to the correct department or individual, while maintaining exceptional phone etiquette.
- Provides comprehensive administrative support.
- Performs accurate and timely data entry for various records.
- Maintains an organized and tidy reception area and common office spaces, reflecting a professional environment.
- Assists with office administration tasks.
- Communicates effectively with internal staff, clients, and vendors, facilitating clear and concise information exchange.
- Develops and implements efficient organizational skills to manage multiple tasks, prioritize workloads, and meet deadlines.
- Delivers consistent and high-quality customer service to resolving inquiries and providing assistance.
Required Qualifications
Education
- Possesses a high school diploma or equivalent.
Experience
- Holds at least one year of experience in a receptionist, administrative assistant, or similar customer-facing role.
Knowledge/Skills
- Demonstrates strong customer service skills, with a proactive and helpful approach.
- Exhibits excellent communication skills, both verbal and written, for clear and professional interactions.
- Applies proficient data entry abilities with a high degree of accuracy and attention to detail.
- Understands and executes effective office administration practices, ensuring smooth daily operations.
- Utilizes superior organizational skills to manage time, tasks, and resources efficiently.
- Practices impeccable phone etiquette, representing the company professionally in all telephone communications.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Preferred Qualifications
- Possesses experience with multi-line phone systems.
- Familiar with office management software.
