Job Details

We are seeking an experienced Real Estate Legal Assistant.

The ideal candidate will provide comprehensive administrative and legal support to attorneys handling residential and commercial real estate transactions.

This role requires exceptional organizational skills, attention to detail, the ability to manage multiple priorities in a fast-paced environment, and a commitment to providing outstanding client service.

Key Responsibilities

Assist attorneys with all phases of residential and commercial real estate transactions from contract through closing.
Prepare, revise, proofread, and finalize legal documents, correspondence, contracts, closing documents, leases, and related transactional materials.
Coordinate real estate closings and communicate with clients, lenders, title companies, realtors, surveyors, and other parties involved in transactions.
Order and review title commitments, surveys, estoppels, lien searches, and supporting due diligence documents.
Maintain electronic and physical client files and ensure accurate document management.
Prepare closing binders and organize post-closing documentation.
Monitor transaction deadlines and maintain attorney calendars.
Draft routine correspondence and legal forms under attorney supervision.
Manage incoming and outgoing communications, including telephone calls, emails, and client inquiries.
Assist with preparation and recording of deeds, mortgages, UCC filings, and other real estate-related documents.
Ensure compliance with firm procedures and Florida real estate transaction requirements.
Support attorneys with administrative tasks and special projects as needed.

Qualifications

Minimum of 3+ years of real estate legal assistant experience, preferably in a law firm setting.
Experience supporting attorneys in residential and/or commercial real estate transactions.
Strong knowledge of real estate closing procedures, title matters, and transactional documentation.
Proficiency with Microsoft Office Suite, including Word, Outlook, Excel, and PDF software.
Experience with legal document management systems is preferred.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities with exceptional attention to detail.
Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
Professional demeanor and strong interpersonal skills.
Experience working with title companies, lenders, developers, or commercial real estate transactions.
Familiarity with Florida real estate practices and closing procedures.
Notary Public commission is a plus.
