Job Details

What You'll Do
  • Provide administrative and legal support to attorneys throughout the lifecycle of real estate and community association matters.
  • Prepare, revise, proofread, and format legal documents, correspondence, contracts, closing documents, and other transactional materials.
  • Coordinate calendars, schedule meetings, closings, hearings, and conference calls.
  • Maintain attorney calendars, deadlines, and case files to ensure timely completion of work.
  • Organize and manage electronic and physical client files.
  • Prepare document packages for real estate transactions, lender requirements, and closing coordination.
  • Communicate professionally with clients, title companies, lenders, opposing counsel, vendors, property managers, and homeowners' associations.
  • File and retrieve documents through Florida courts and public records when necessary.
  • Process incoming and outgoing correspondence, including email, mail, and overnight deliveries.
  • Assist with billing, time entry, expense reports, and other administrative responsibilities.
  • Perform legal research and other special projects as requested.

What We're Looking For
  • 3+ years of legal assistant experience supporting attorneys in real estate, commercial real estate, HOA/community association, or business law.
  • Experience preparing legal documents related to real estate transactions and community association matters.
  • Strong knowledge of legal terminology, document management, and administrative procedures.
  • Excellent organizational skills with the ability to prioritize multiple attorneys and competing deadlines.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to work independently while collaborating with attorneys and staff.
  • Proficiency with Microsoft Office (Word, Outlook, Excel) and document management systems.
  • Experience with time entry and legal billing software is a plus.
