Job Description
This position provides coordination and reporting for Project Information Management (PIM) activities across major capital projects within Project Management & Construction (PMC). The QA Specialist I role is responsible for supporting project closeout readiness, document quality, turnover coordination, and reporting visibility across the project portfolio. This includes tracking project status, monitoring document inventories, supporting final quality control (QC) processes, and ensuring project documentation is complete, accurate, and aligned with PIM program requirements.
This position interfaces with project teams, contractors, vendors, and internal stakeholders to track deliverables, identify gaps, and communicate project status, risks, and dependencies related to document control, turnover, and closeout activities.
Duties & Responsibilities
Prepare and distribute recurring project status updates across active, closeout, and upcoming projects
Compile project level data including turnover status, milestone dates, document counts, and project comments
Coordinate with project teams, leadership, and stakeholders to gather accurate and timely project updates
Track project closeout readiness, including final QC status, turnover progress, and outstanding deliverables
Monitor and communicate projects in Final QC, Turnover in Progress, and approaching closeout
Support alignment of project documentation with turnover requirements and repository standards
Monitor and report project document inventories including drawings, specifications, calculations, and equipment files
Support quality assurance of project documentation to ensure completeness, accuracy, and consistency
Support reporting and visibility through Procore, SharePoint, and Power BI dashboards
Provide guidance and access to reporting tools, dashboards, and project tracking resources
Track projects operating in different systems (Procore vs SharePoint) and ensure continuity
Support exception workflows such as projects requiring IBR approval or alternative document handling
Coordinate with internal PIM staff, project teams, contractors, and vendors to gather and validate project data
Communicate project risks, blockers, and dependencies impacting document readiness and turnover
Support alignment between project execution teams and document control requirements
Support backlog awareness and workload tracking through project and document visibility
Basic / Required Qualification
Bachelor's degree and 3 years of work-related experience or High School / GED and 5 years of work-related experience.
Experience supporting project coordination, document control, reporting, or quality assurance
Experience working with document management systems or reporting tools (e.g., Procore, SharePoint, Power BI)
Strong organizational and communication skills
Desired Qualification
Familiarity with capital projects, construction documentation, or EPC environments
Experience tracking and managing large document inventories
Advanced SharePoint or reporting/dashboard experience
Ability to interpret project data and communicate insights clearly to stakeholders
Strong attention to detail and ability to manage multiple projects simultaneously
