Purchasing Coordinator

Cross Custom Homes is seeking a Purchasing Coordinator to lead all estimating, vendor management, and procurement efforts for custom residential construction projects. This role is critical to ensuring projects are delivered on budget, on time, and with the quality standards our clients expect.

This position is ideal for a detail-oriented, analytical professional who thrives on building strong vendor relationships, controlling costs, and supporting a high-performing construction team.


Responsibilities

Bidding & Estimating

  • Prepare accurate and detailed cost estimates for all new construction projects both residential and commercial
  • Solicit, analyze, and compare bids from subcontractors and vendors and make selections based upon job scope and cost
  • Identify cost-saving opportunities while maintaining quality standards
  • Ensure job costs are bid within target margins (goal: within 2% of final cost)

Purchasing & Procurement

  • Manage purchasing and coordination of the delivery of all materials to align with construction schedules to job sites
  • Verify the Purchase Orders meet the Packing slips for deliveries and invoices from subcontractors and vendors
  • Ensure timely ordering and delivery of selections and materials
  • Maintain accurate pricing and purchasing data in company systems
  • Prepare yearly audits on Sub-contractors and vendors for prices comparisons and selection

Vendor & Subcontractor Management

  • Build and maintain strong relationships with vendors and subcontractors
  • Evaluate vendor performance, pricing, quality, and reliability at least annually
  • Negotiate pricing, terms, and contracts
  • Source, vet, and onboard new vendors aligned with company standards

Project Coordination

  • Collaborate closely with designers to ensure selections stay within budget
  • Provide cost feedback during the design phase to prevent overruns
  • Work with project managers to ensure alignment between budgets and execution


Change Orders & Cost Control

  • Price and process all change orders accurately and promptly to company procedures
  • Maintain profitability by ensuring change orders meet margin targets
  • Communicate clearly with internal teams regarding cost impacts
  • Ensure Customer Approvals accompany Change Order Purchase Order from Project Manager 


Systems, Documentation & Meetings

  • Maintain organized and up-to-date records of bids, contracts, and vendor pricing
  • Ensure accurate data entry and reporting in company software
  • Attend weekly construction and planning meetings prepared and on time
  • Attend weekly Goal Set and Review Meetings to discuss Opportunities and Successes with your Manager


Qualifications

  • 3 to 6+ years of experience in purchasing, estimating, or cost control in residential/commercial construction
  • Strong understanding of commercial and residential construction methods, materials, and pricing (primary focus on Residential)
  • Proven experience with bidding, vendor management, and procurement processes
  • High level of accuracy and attention to detail
  • Strong vendor/sub-contractor negotiation and relationship-building skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Strong analytical and problem-solving skills
  • Excellent communication skills with internal teams, vendors, and subcontractors
  • Proficiency in construction management or estimating software (Buildertrend or similar preferred)
  • Working knowledge of QBO, Microsoft Excel, Outlook, and Office tools
  • Valid driver's license and reliable transportation
  • Spanish-English bilingual skills are a plus


Job Type: Full-time

Pay

$70,000 per year, depending on qualifications and experience.

Performance-based bonuses allowance to $20,000 tied to close rate, over-runs, on-time deliveries, job profitability, and rebates
