SUMMARY

The Publications & Compliance Coordinator supports the administrative and operational functions of Gridiron Air’s technical publications and regulatory compliance programs. Reporting to the Senior Manager of Safety and Regulatory Compliance, this role serves as the day-to-day administrator for Comply365, coordinates with third-party technical publication vendors, and assists subject matter experts in developing and maintaining company policies and procedures. The Coordinator plays a key role in ensuring the accuracy, currency, and regulatory compliance of all controlled documentation and in managing communication with civil aviation authorities.

GENERAL DUTIES

  • All employees are expected to be well-versed in the Gridiron Air Safety Management System (SMS). They should be proficient in carrying out duties in line with their training and participation in the SMS. Moreover, they are encouraged and supported to identify and report safety hazards, detect safety shortcomings, and voice safety concerns within the operation, thus promoting a proactive safety culture.
  • Assist subject matter experts (SMEs) across departments in drafting and preparing bulletins, manuals, and support with the third-party technical publication vendor
  • Coordinates with third-party technical publication vendor on the development, revision, and distribution of Company manuals and publications
  • Tracks vendor deliverables, review cycles, and revision timelines to ensure on-time delivery of publication updates
  • Serves as day-to-day administrator for Comply365
  • Draft and prepare letters of request for formal correspondence to regulatory authorities (i.e FAA)
  • May perform other responsibilities as assigned based on business needs and shifting company priorities.

QUALIFICATIONS

  • Associate’s degree or higher in Aviation Management, Business Administration, Technical Writing, or a related field preferred; equivalent combination of education and experience will be considered
  • Minimum 1–3 years of experience in document control, technical publications, regulatory compliance, or aviation operations administration
  • Prior experience in a FAR Part 121 or Part 135 airline environment strongly preferred
  • Familiarity with Comply365 is highly desirable
  • Strong written communication skills with demonstrated ability to draft professional regulatory correspondence with attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to manage multiple priorities and deadlines simultaneously
  • Ability to work independently and collaboratively with cross-functional teams
  • High degree of discretion and professionalism when handling sensitive regulatory and compliance matters

WORKING CONDITIONS

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee will primarily work in an office setting. Occasionally, the employee is exposed to outside weather conditions which may include wet and/or humid conditions and extreme heat and cold. When working outside the office, the noise level in the work environment is often loud. Occasional travel may be required (<10%).
