Description/Duties and Responsibilities

The City of Santa Clarita is currently recruiting for a part-time, temporary, seasonal (PTS) employee to provide a wide range of clerical support for the Special Districts division. This position is responsible for performing general clerical work, including answering telephones, providing customer service to the public, and other clerical duties as assigned.

This position may work up to 30 hours per week, and hours are based on the needs of the division.

Duties and Responsibilities:

  • Provides clerical support for the Special Districts division, including answering incoming phone calls for the division; receiving, sorting, and processing mail; maintaining calendars; and scheduling and setting-up for meetings
  • Assists the public by answering questions via phone, email, and in-person, providing information, and directing inquiries to appropriate staff as necessary
  • Creates service requests and inputs work orders into a digital database
  • Performs office filing and assists with records management functions
  • Provides typing, proofreading, and editing of a variety of documents and reports including preparing letters, memorandums, and email responses
  • Provides general budget support, including tracking budgets and purchase orders and inputting invoices into the Citys financial system
  • Generates and maintains a variety of technical reports, spreadsheets, and databases using multiple computer applications and software including Microsoft Word, Excel, Outlook, Laserfiche etc.
  • Maintains files of correspondence, forms, reports and other materials; scans and index documents for electronic storage
  • Maintains office supply area and orders supplies as needed
  • Performs other duties and responsibilities, as needed

Education and Experience

  • High School Diploma or a GED equivalent
  • One year of clerical support experience in a fast-paced, professional, and customer-service oriented environment
  • Bilingual in English and Spanish is desirable
  • Maintains office supply area and orders supplies as needed

Knowledge and Abilities

  • Excellent communication skills both orally and written; knowledge of basic math, business English, spelling, and strong understanding of grammar and punctuation rules; and the ability to correctly proofread and edit correspondence
  • Strong customer skills and the ability to provide excellent customer service to employees and the public, including the ability to handle conflicts and complaints
  • Ability to understand, interpret, and explain City and department policies, regulations, and procedures to others
  • Demonstrates a reliable and responsible work ethic, demonstrate patience and have a proactive, can-do attitude
  • Strong interpersonal skills and the ability to establish and maintain effective working relationships with co-workers and be a team player
  • Strong attention to detail and the ability to produce work that is accurate, thorough, and complete
  • Strong computer skills and proficiency in Microsoft Outlook, Word, and Excel, and the ability to learn and use new software programs
  • Strong organizational skills and the ability to manage time effectively, coordinate multiple projects simultaneously, work in an environment with constant interruptions, consistently meet deadlines, and be flexible to changing priorities
  • The ability to lift, drag, and push files, paper, and documents weighing up to 25 pounds

In addition, part-time, temporary, and seasonal (PTS) employees may be required to participate in the DMV Employer Pull-Notice Program. This program authorizes the City to receive a driver record report upon enrollment and during employment.

This is not a designated Retired Annuitant position. If you are a California Public Employees Retirement System (CalPERS) retiree, you may be required to reinstate into CalPERS.

Part-time, temporary, and seasonal (PTS) workers are at-will. Generally, PTS employees are limited to no more than 999 hours per fiscal year.
