    Position Summary

    Griffin Health is seeking a highly organized, customer-focused Patient Charge Specialist to support the daily administrative operations of our Outpatient Psychiatry department. This role serves as a key point of contact for patients, providers, and staff by coordinating appointments, managing patient records, supporting billing processes, and ensuring an exceptional patient experience. The ideal candidate is detail-oriented, compassionate, and committed to providing outstanding customer service in a fast-paced healthcare environment.

    Essential Responsibilities

    • Provide administrative and clerical support to ensure the efficient daily operation of the Outpatient Psychiatry department.
    • Answer and direct incoming telephone calls, respond to patient inquiries, and relay messages promptly to clinical staff.
    • Schedule patient appointments, including new patient intakes, follow-up visits, and therapy sessions, while managing cancellations and rescheduling requests.
    • Welcome and check in patients, verify demographic and insurance information, and ensure all required registration forms and documentation are completed.
    • Maintain accurate patient records within the electronic health record (EHR) system, including scanning and uploading documentation.
    • Coordinate referrals by contacting patients, scheduling appointments, and tracking referral status to completion.
    • Verify insurance information and maintain accurate patient insurance records.
    • Prepare, organize, and distribute daily billing or encounter forms for providers as needed.
    • Maintain patient records in accordance with HIPAA regulations and Griffin Health confidentiality standards.
    • Facilitate communication between front office staff, clinicians, and other departments to ensure efficient patient flow.
    • Conduct appointment reminder calls, follow up on missed appointments, and assist patients with rescheduling.
    • Monitor daily scheduling, referral, and patient follow-up logs to ensure timely completion of tasks.
    • Assist with maintaining office supplies, organizing departmental paperwork, and supporting general administrative functions.
    • Perform additional duties as assigned to support departmental operations.
    • Primary location- Derby. Possible coverage in Hamden and Shelton offices

    Qualifications

    Education

    • High school diploma or equivalent required.
    • Associate degree in Healthcare Administration, Business, or a related field preferred.

    Experience

    • Minimum of one year of administrative or patient service experience in a medical office, behavioral health, or healthcare setting preferred.
    • Experience working with electronic health records (EHR) systems preferred.
    • Medical scheduling and insurance verification experience strongly preferred.

    • Excellent organizational, time management, and multitasking skills.
    • Strong verbal and written communication skills.
    • Exceptional customer service and interpersonal skills with the ability to interact professionally and compassionately with patients.
    • Strong attention to detail and accuracy.
    • Ability to prioritize responsibilities in a fast-paced environment.
    • Proficiency with Microsoft Office applications and electronic health record systems.
    • Knowledge of HIPAA regulations and patient confidentiality requirements.
    • Demonstrated problem-solving skills and ability to work independently as well as collaboratively within a multidisciplinary team.
