    DESCRIPTION:

    The Proposal Specialist is responsible for developing accurate, compelling, and client-ready responses to Requests for Information (RFIs) and related client inquiries. This role contributes to the organization's business development efforts by crafting high-quality proposal content that communicates the company's capabilities, differentiators, and value propositions. The Proposal Specialist works collaboratively with subject matter experts (SMEs), business development, operations, and leadership teams to ensure all responses reflect organizational strengths, comply with internal standards, and align with client requirements.

    • Create and deliver clear, persuasive, and accurate RFI responses, ensuring alignment with company positioning and client needs.
    • Partner with SMEs and internal stakeholders to collect technical, operational, and business information to support proposal development.
    • Analyze client RFI requirements and translate them into well-structured, tailored responses.
    • Manage timelines and coordinate cross-functional input to ensure timely completion of deliverables.
    • Support the development and maintenance of RFI content repositories, templates, and libraries for consistent reuse.
    • Apply branding, style, and quality standards to ensure consistency and professionalism across all deliverables.
    • Participate in continuous improvement initiatives to streamline RFI response processes and enhance content quality.
    • Contribute to internal knowledge-sharing efforts by updating standard responses and assisting in training team members on RFI processes.

    Education and Experience:

    • Bachelor's degree or equivalent and relevant formal academic/vocational qualification.
    • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 2+ years).

    In some cases, an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

    Knowledge, Skills, and Abilities:

    • Strong written and verbal communication skills with the ability to translate technical information into client-friendly language.
    • Excellent organizational skills, with the ability to manage multiple projects and priorities in a fast-paced environment.
    • High attention to detail and quality, with demonstrated experience in document formatting and consistency.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with proposal management tools or content libraries.
    • Strong interpersonal skills for collaboration with diverse teams and SMEs.
    • Analytical mindset with the ability to interpret client requests and tailor responses accordingly.
    • Familiarity with business development or sales operations processes preferred.
