JOB DESCRIPTION:
Position Overview
(PGS) is seeking a dynamic and detail-oriented Proposal Coordinator to join our Business Development team. This critical role supports the growth of the company by managing responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and Sources Sought Notices (SSNs), while also conducting comprehensive market research to identify new business opportunities.
Key Responsibilities
Proposal and RFP/RFI/SSN Management
Coordinate the end-to-end proposal development process, ensuring timely and accurate submissions for RFPs, RFIs, and SSNs.
Analyze solicitation requirements, develop compliance matrices, and outline proposals to meet client expectations.
Work closely with internal teams (e.g., technical leads, subject matter experts) to gather, synthesize, and refine proposal content.
Ensure proposals are compliant with all stated requirements, formatted professionally, and submitted before deadlines.
Maintain an organized repository of proposal documents, templates, and past submissions to streamline future responses.
Market Research
Conduct market research to identify new business opportunities and assess potential clients, competitors, and industry trends.
Monitor government and commercial procurement portals (e.g., SAM.gov) for relevant opportunities.
Develop comprehensive reports summarizing findings from market research, including actionable recommendations for pursuit strategies.
Evaluate win probabilities by analyzing agency needs, incumbent performance, and competitor positioning.
Collaboration and Communication
Act as the primary liaison between internal stakeholders and external partners during the proposal process.
Schedule and lead proposal kickoff meetings, progress reviews, and debriefings.
Communicate proposal status, challenges, and needs to the Business Development Manager and other leadership.
Compliance and Quality Assurance
Ensure all proposals adhere to company policies, branding standards, and applicable regulations.
Conduct quality reviews of all submitted documents to ensure accuracy, completeness, and compliance.
Tracking and Reporting
Maintain a detailed log of ongoing and completed proposals, tracking outcomes and lessons learned.
Provide monthly reporting on the proposal pipeline and market research findings to leadership.
Qualifications
Education: Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred.
Experience:
At least 3-4 years of experience in proposal coordination, market research, or a related role.
Familiarity with responding to government RFPs, RFIs, and SSNs is highly preferred.
Skills:
Excellent writing, editing, and proofreading skills.
Strong organizational and project management abilities, with the capacity to manage multiple deadlines simultaneously.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management tools.
Familiarity with government procurement platforms, such as SAM.gov, is a plus.
Analytical skills to interpret data and generate actionable insights.

Position Details:
The above salary range represents the range expected for the position; however, final salary offers are based on a number of factors such as the position's responsibilities; the candidate's experience, education, and skills; location; travel required; and current market conditions.
