Job Summary:

The Property Management Account Representative is responsible for logging and dispatching calls, as well as capturing the necessary information for the technician. The PMAR is also responsible for updating multiple portals, so all applications align.

 

 Supervisory Responsibilities:

None. 

 

Duties/Responsibilities:

  • Schedules jobs in dedicated portals for Property Management work.
  • Schedules verified work orders in Portals / Service Titan systems.
  • Set-up customers in Sage AR and in Bolt / Service Titan when required.
  • Create jobs in Sage Job Cost and in Bolt / Service Titan when required.
  • Schedule and assign service, coordinating with the service manager when necessary and appropriate.
  • Answer incoming calls and respond to customer / Property Management needs and messages in a timely and professional manner.
  • Call customers regarding external service requests to schedule appointments.
  • Request approvals and documentation.
  • Coordinate with internal departments as needed.
  • Requests change orders and documentation from Property Management.
  • Performs other related duties as directed.

 

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • A working knowledge of Microsoft Office Suite, excel, word.
  • Good analytical skills and ability to make sound judgments relative to inventory.
  • Knowledge in Property Management scheduling preferred.
  • Ability to work independently.

 

Education and Experience:

  • High school diploma or equivalent required; Associate or bachelor’s degree preferred but not required.
  • Valid state Driver’s license.
  • At least two years of work experience in related field and or Customer service.

 

Physical Requirements:

  • Must be able to lift up to 15 pounds at times.
  • Extended periods of sitting at desk using computer.
