Duties and Responsibilities
 

Revenue Generation and Administration:
 

·         Work to achieve the property’s financial goals through:

-     Diligent collection of rents, security deposits, and other receipts (fees, assessments, service charges).
-     Constant monitoring and analysis of market conditions.
-     Making timely bank deposits and maintaining accurate records of all revenue collected.
-     Implementing and enforcing the management company’s collection policies.
 

·         Prepare and maintain careful records including:

-     Preparation of financial and operations reports including weekly activity reports and daily traffic reports.

-     Maintain complete and up-to-date records of the move-in and move-out conditions of apartments, the tenants who reside there, and their employment and banking information.

-     Preparing, processing, and signing of rental agreements, addenda, and related documents.

-     Timely processing of security deposit refunds and appropriate deductions.

      

·         Assist in handling of legal and financial matters including:

-     Building leases, rules & regulations.

-     Building and fire safety codes.

-     Landlord-tenant law

-     Fair Housing Laws and ADA

 

Enhancement of the Property quality:
 
·         Enhance the residents’ experience of the property through:

-     Careful resident qualifying and screening.
-     Early action regarding lease renewals.
-     Continually inspecting the property and improvements.  Recording any deficiencies and taking action to improve the general appearance of the property.
-     Fostering good resident relations by focusing on the complete resident move-in experience.  
-     Enhanced property curb appeal and proper maintenance.
 

·         Focus on Resident Safety:

-     Ensure Residents are informed about safety, regulations, and property rules.

-     Continually upgrade security and safety procedures.

-     Report any accident, injury, or property damage immediately to the Regional Manager.

 

·         Customer Service:

-     Attend to resident requests and/or emergency needs in a timely and cordial manner.

-     Maintain good working relations and open communication with residents.

-     Be professional and congenial.  Treat all residents equally.

 

Maintenance Operations:
 

·         Ensure the preservation and improvement of the quality and value of the property and attract and maintain residents through the proper use of Maintenance.

 

-     Become knowledgeable about the maintenance operations of his or her property.

-     Know where all of the emergency shut-offs are, where the meters are, etc.

-     Timely ordering and establishment of inventory controls, ensuring an adequate supply of parts to allow service requests to be fulfilled in a reasonable amount of time.

-     Obtaining preliminary cost estimates for projects large enough to require bids from outside contractors. Coordinate the work of contractors and labor with the work of staff.

-     Inspect grounds for cleanliness and property deterioration/damage. Authorize small property repairs and recommend larger repairs to the Regional Manager. Coordinate the cleaning and turnover preparation of vacant apartments. Request and coordinate vendor service contracts. Motivate and supervise maintenance personnel.

-     All actions should be geared toward containing costs, increasing revenues, and enhancing the appeal and value of the asset.

 

Marketing and Promotion:
 

Utilize appropriate marketing resources, understand and act properly upon market conditions and competitive pricing.
Maintain and operate the model, mini-model, and/or rental office to maximize marketing appeal.
Use good salesmanship in leasing the units and qualify all prospects.
 
 
Representation of the Management Company/Public Relations:
 

·         In all aspects of site management, the Property Manager is a representative of the management company.

Be conscious of dress, speech, and demeanor.
Communicate with the residents, staff, regional manager, owner, suppliers, and the neighborhood in a professional manner, in order to create a good image for the property.  Participate in a neighborhood association and/or neighborhood watch if one exists.  Attend local governmental functions as necessary.
Comprehension and proficiency in the California Civil Code.
Resolve any conflicts with or between residents as smoothly as possible.  Strive to communicate as clearly as possible to avoid problems before they arise.
Stimulate resident pride in the property by providing professional services and, where possible and appropriate, planning and organizing both recreational and social activities.
 

Miscellaneous:
 

Reports good work and problem employees or contractors to Regional Property Manager.
Work toward professional and personal development by attending all scheduled company training and implementing this knowledge at the property.
Maintain proper personal physical and mental fitness necessary to safely perform all tasks assigned, which includes extensive walking, standing, alertness, problem solving, meeting deadlines, counseling, training, receiving and issuing orders and guidance, leadership, and supervision.
Other related duties as assigned.

Principal Objective:

 

Implement, and coordinate competitive rental rates and effective rental practices in order to maximize property revenues and reduce controllable operating expenses. Make recommendations to improve the profit and productivity of the asset and company.
Ensure that all rents and other income are collected in a timely manner to minimize budgetary/administrative problems and to take appropriate action quickly if they are not.
Comply with established management policies and procedures for maximum operational efficiency.
Assist in the supervision of maintenance operations to ensure that internal and external property areas meet company safety and physical appearance standards.
