Position Summary

The Property Administrator supports the day-to-day operations of residential, commercial, or mixed-use properties. This role ensures smooth administrative processes, tenant satisfaction, and regulatory compliance while assisting property management with leasing, financial reporting, and maintenance coordination.


Key Responsibilities

Administrative Support

  • Maintain organized records of leases, tenant files, insurance certificates, and vendor contracts
  • Prepare and process correspondence, reports, and property documentation
  • Manage incoming calls, emails, and tenant inquiries promptly and professionally

Tenant Relations

  • Serve as a primary point of contact for tenants
  • Assist with lease administration, renewals, and move-in/move-out processes
  • Address tenant concerns and escalate issues when necessary

Financial Administration

  • Process rent payments, invoices, and accounts payable/receivable
  • Assist in budget tracking and expense reporting
  • Support monthly financial reporting and reconciliation activities

Leasing & Contract Support

  • Assist with marketing available units and scheduling property tours
  • Prepare lease agreements and ensure all documents are properly executed
  • Track lease expirations and renewals

Maintenance Coordination

  • Coordinate service requests and track completion with vendors
  • Maintain maintenance logs and ensure timely follow-up
  • Support property inspections and ensure compliance with safety standards

Compliance & Documentation

  • Ensure adherence to company policies, local laws, and property regulations
  • Maintain accurate and up-to-date compliance documentation
  • Assist with audits and reporting requirements

Qualifications

Education & Experience

  • High school diploma required; Associate's or Bachelor's degree preferred
  • 1-3 years of administrative or property management experience preferred
