Position Summary
The Property Administrator supports the day-to-day operations of residential, commercial, or mixed-use properties. This role ensures smooth administrative processes, tenant satisfaction, and regulatory compliance while assisting property management with leasing, financial reporting, and maintenance coordination.
Key Responsibilities
Administrative Support
Maintain organized records of leases, tenant files, insurance certificates, and vendor contracts
Prepare and process correspondence, reports, and property documentation
Manage incoming calls, emails, and tenant inquiries promptly and professionally
Tenant Relations
Serve as a primary point of contact for tenants
Assist with lease administration, renewals, and move-in/move-out processes
Address tenant concerns and escalate issues when necessary
Financial Administration
Process rent payments, invoices, and accounts payable/receivable
Assist in budget tracking and expense reporting
Support monthly financial reporting and reconciliation activities
Leasing & Contract Support
Assist with marketing available units and scheduling property tours
Prepare lease agreements and ensure all documents are properly executed
Track lease expirations and renewals
Maintenance Coordination
Coordinate service requests and track completion with vendors
Maintain maintenance logs and ensure timely follow-up
Support property inspections and ensure compliance with safety standards
Compliance & Documentation
Ensure adherence to company policies, local laws, and property regulations
Maintain accurate and up-to-date compliance documentation
Assist with audits and reporting requirements
Qualifications
Education & Experience
High school diploma required; Associate's or Bachelor's degree preferred
1-3 years of administrative or property management experience preferred
