Duties & Responsibilities
Project Management Systems (Procore):
- Assign and manage submittals and Requests for Information (RFIs)
- Maintain system administration, including vendor setup/decommissioning and user permissions
- Upload and organize project documents and engineering drawings
- Support and maintain vendor and stakeholder relationships
Budget & Financial Coordination:
- Assist with project budgeting, updates, and tracking
- Close out open purchase orders and generate "left to spend" reports
- Support ITC/Domestic Content tracking and documentation
Contract & Compliance Management:
- Coordinate Non-Disclosure Agreements (NDAs): communicate with vendors, manage drafts, and route for signature via Ironclad
- Support compliance tracking and documentation processes
GPI & Workforce Compliance:
- Collaborate with Project Managers and contractors to identify GPI-related work
- Manage project entries in Skill Smart
- Follow up with contractors to ensure timely payroll submissions
Project Coordination & Scheduling:
- Manage contractor look-ahead schedules and timelines
- Assist with inventory tracking and material coordination
- Verify contractor setup prior to project start
- Support development and review of bid documents with engineers and project managers
- Ensure timely communication across project teams, contractors, and leadership
- Respond to contractor inquiries and clarifications promptly
- Create, update, and maintain a comprehensive list or lists of company-wide projects
- Assist with managing project requests
Cross-Functional Coordination:
- Liaise with accounting on project-related financial matters
- Coordinate with internal teams (CHP/CCS) on priorities and requirements
- Manage site services, including vendor coordination for pickups and cleanings
- Track and coordinate use of rented and owned equipment
- Source and coordinate spare parts inventory quotes and communicate details to maintenance teams
Qualifications
Experience with project management software (e.g., Procore)
Strong organizational and communication skills
Ability to manage multiple priorities in a fast-paced environment
Experience in construction, energy, or project-based industries preferred
Physical Requirements
Ability to lift up to 50 pounds periodically
While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone.

Compensation & Benefits
The starting wage for this position is $85,000 annually, with potential adjustments based on skills, experience, and qualifications.
