3+ years of mitigation, restoration, or construction project management experience.
Strong proficiency in Xactimate (required).
Experience managing multiple active projects.
Strong communication and client-facing skills.
Proficiency with Encircle and Proven Jobs (training available).
Ability to read scopes, plans, and specifications.
Valid driver’s license and clean driving record.
Strong organizational skills and attention to detail.
Xactimate Estimating & Cost Analysis
Receive and review project details from Sales and Project Managers, then create detailed cost estimates using Xactimate. (Estimator PDF reference: “Receive and review project details… and create detailed cost estimates using Xactimate software.”)
Analyze project plans, scopes, and specifications to determine labor, materials, and equipment costs.
Request asbestos reports and required documentation prior to estimating.
Develop comprehensive cost breakdowns, timelines, and budgets in Xactimate.
Provide cost reports and updates to CDS management.
Support Sales team with lead generation when estimate workflow slows.
Project Intake & Setup

Request asbestos reports for all mitigation and construction projects.
Obtain Work Authorization, permits, and contracts.
Build project plans, timelines, and budgets using Proven Jobs.
Project Execution & Oversight
Utilize Encircle to monitor, analyze, and report hydro-related data and photo documentation.
Schedule walks with subcontractors or CDS teams to validate scopes and inspect work.
Ensure completed work matches the scope of work.
Coordinate with field teams, subcontractors, and suppliers to ensure timely project completion.
Oversee multiple mitigation and construction projects simultaneously.
Manage change orders, approvals, and additional client requests.
Conduct sign-off walks with property management.
Documentation & Reporting
Document completed areas in Proven Jobs Notes.
Obtain signatures in Encircle for Certificates of Completion. (Project Manager PDF reference: “Obtain signature in Encircle for certificate of completion.”)
Complete all sub trade Work Orders and ensure execution.
Create Final Photo Reports of completed work.
Provide daily updates to clients and CDS team via Proven Jobs Notes.
Ensure all work complies with industry standards, regulations, and CDS policies.
Client Relationship Management
Send welcome emails and project-specific information to new clients.
Provide daily or scheduled updates throughout the project lifecycle.
Conduct post-project evaluations and send survey emails.
Provide Encircle Photo Reports at project start and completion.
Send thank-you emails at project completion (cc: CDS ownership/management).
Ensure full payment is collected and profit margins are met.
Maintain professional appearance and adhere to CDS dress code.
The Project Manager / Xactimate Estimator is a dual-role position responsible for managing mitigation and construction projects from start to finish while also preparing accurate, detailed cost estimates using Xactimate. This role ensures scopes are correct, budgets are maintained, documentation is complete, and projects are executed to CDS’s high standards.
The PM/Estimator coordinates with clients, subcontractors, field teams, and CDS leadership, while overseeing project timelines, financials, and performance metrics.
